Duties and Responsibilities:

TheExecutive Assistant (EA) provides senior-level executive, administrative, andoperational support to the Vice President, (VP) People, Communications andEnrolment, playing a key role in advancing the strategic priorities of a broadportfolio that includes Human Resources, Communications and Marketing, Domesticand International Recruitment, and Enrolment Services. Servingas a central point of coordination for the VP, the EA supports the effectivemanagement of daily operations, leadership activities, planning and reportingprocesses, special projects, and portfolio-wide initiatives. The position worksproactively to anticipate the VP’s needs, establish structure around prioritiesand commitments,



and ensure important work progresses across multipledepartments and functions. TheEA actively manages the flow of priorities, information, decisions, andcommitments through the Office of the VP. This includes triaging requests andissues, protecting and prioritizing the VP’s time, preparing the VP formeetings, coordinating follow-up on commitments, and ensuring actions,approvals, and deadlines are advanced appropriately. The EA maintains awarenessof emerging priorities across the portfolio andproactively identifies matters requiring the VP’s attention. TheEA facilitates communication and collaboration, coordinates cross-functionalinitiatives on the VP’s behalf, and supports the timely execution of portfoliopriorities. The role also supports the VP’s leadership team's effectiveness bycoordinating meeting agendas and materials, maintaining forward-planningcalendars, tracking decisions and action items, and ensuring appropriatefollow-through among portfolio leaders. TheEA develops and maintains comprehensive systems for tracking strategicpriorities, business plan deliverables, projects, decisions, approvals,follow-up items, and other commitments of the VP. The position also helpsmaintain continuity within the Office of the VP by ensuring key decisions,commitments, correspondence, and supporting information are appropriatelydocumented and accessible. Keyresponsibilities include conducting research and gathering information;preparing briefing materials, presentations, correspondence, reports, andmeeting materials; coordinating schedule, calendar, meetings, and supportingcertain events and emergency communications; monitoring budget expenditures;responding to and triaging inquiries; drafting and proofreading documents;supporting special projects; and providing general administrative support. TheEA serves as an important liaison between the Office of the VP and otherexecutive offices.



The position exercises sound judgment in determining whatrequires the VP’s attention, what can be redirected or resolved elsewhere, andwhen matters should be escalated. Qualifications:

A minimum of a three-year diploma or degree in Business Administration, Office Administration or Communications, along with 5 years of relevant experience. Leadership development courses or certifications will be considered a strong asset. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), SharePoint, and enterprise systems (e.g., Banner, QUICK). Strong organizational, time management, and project management skills with the ability to balance multiple priorities. Exceptional interpersonal, verbal, and written communication skills, with sound judgment, diplomacy, and discretion in handling confidential matters. Proven problem‑solving, critical thinking, and conflict resolution abilities; able to work independently under pressure. Experience in budget coordination and financial tracking.
