Our client, a global, publicly listed company headquartered in downtown Vancouver, is seeking an Executive Assistant to support its General Counsel.
This is a hands-on, high-trust role at the centre of a demanding board and governance function, blending complex calendar and travel management, end-to-end Board and Committee logistics, and day-to-day executive support. It’s an excellent fit for a seasoned, deeply organized EA who thrives on shifting priorities, takes genuine ownership of their work, and brings absolute discretion to highly sensitive matters.
Duties & Responsibilities
Provide high-level administrative and operational support to the General Counsel, senior executives, and Board members within a complex, publicly traded mining organization.
Manage dynamic executive calendars across multiple locations and international time zones, prioritizing competing demands, protecting executive time, and acting as a key gatekeeper and point of contact for internal and external stakeholders.
Coordinate Board of Directors and Committee meetings end-to-end, including scheduling, governance packages, agendas, confidential materials, meeting logistics, minutes, and follow-up.
Support investor and shareholder relations by coordinating meetings, communications, presentations, and related executive requirements.
Coordinate complex domestic and international travel, including intricate itineraries for executives visiting remote mine sites, international operations, and investor conferences across multiple time zones.
Support SEDAR+ filings and other public-company disclosure requirements by tracking regulatory timelines, coordinating documentation, and ensuring materials are prepared and submitted accurately and on time.
Assist with compliance and corporate reporting by compiling information, coordinating operational reports, and maintaining documentation required for a publicly traded organization.
Support the day-to-day administrative operations for the GC, including expense reconciliation, corporate correspondence, document management, and secure filing of highly confidential information.
Anticipate and manage time-sensitive priorities, independently resolving complex issues and exercising exceptional judgment, discretion, and professionalism.
What We’re Looking For
6–8+ years of experience as a senior EA supporting C-suite executives and a Board of Directors
Demonstrated Board and Committee support experience; a legal or corporate governance background is an asset but not required
Experience supporting a publicly listed company, with an understanding of corporate governance, disclosure requirements, and public-company processes
Experience with SEDAR+ and public-company filings is an asset
Experience with Board portals and strong proficiency in Microsoft Office, particularly Excel and document formatting
Exceptional organizational and time-management skills, with the ability to manage competing priorities and pivot quickly
Comfortable coordinating complex schedules, travel, and communications across multiple international time zones and geographic locations
Proactive, highly resourceful, and ownership-driven, with the ability to work independently and anticipate what needs to happen next
Sound judgment and exceptional discretion when handling confidential and highly sensitive information
Calm, polished, and professional presence with the ability to operate effectively in a fast-paced, high-stakes environment
Compensation & Perks
Base salary of $90,000–$110,000, depending on experience and qualifications
