The Pediatric Clinical Services Scheduler position performs a wide range of clinical and clerical activities that contribute to the Stollery Children’s Hospital Ambulatory clinical scheduling operations. The highest level of reliable services will be provided by this position while keeping patient privacy and security confidential at all times. As part of the Pediatric Clinical Services Team, the position is responsible for clinical appointment scheduling as well as coordination of incoming referrals and clinical tests for physicians participating in the Pediatrics program.
Demands of this position are extensive due to the volume of work and the variety of tasks performed.
The Pediatric Clinical Services
Scheduler, as the first point of contact for patients’ families, communicates directly with families to coordinate their clinical scheduling needs. The position follows and consistently applies comprehensive written procedures, hence needs to adapt quickly to changing priorities to meet the demands posed by ongoing operational changes within The Stollery Children’s Hospital Ambulatory clinics. The position is a frontline AUPE – GSS union position and reports to the Team Lead of Pediatric Clinical Services within the Pediatric Clinical Services.

Required Qualifications
Completion of Grade 12 or equivalent.
Additional Required Qualifications
Medical Office Assistant certificate training with Minimum 2 years progressively responsible experience working in a complex healthcare setting with academic physicians required. Proof of successful formal training and/or advanced proficiency in Microsoft Office Suite. Training in position-related software: Connect Care, eCLINICIAN, RightFax Telehealth.
Understanding of how FOIP and the Health Information Act apply to this role. Excellent interpersonal and communication skills, both written and verbal. Able to think critically with demonstrated ability in problem-solving complex issues.
Exceptional attention to detail with the ability to interpret client needs, identify discrepancies, assess requirements and identify solutions to non-standard requests. Ability to employ self-sufficiency to work in areas of ambiguity and seek assistance as required. Intermediate experience working with electronic medical records with a proven ability to manage patient records with confidentiality and accuracy.
Preferred Qualifications
Current or recent experience working in a complex scheduling healthcare environment with academic physicians.
