- Jane Clinic – 9401 Jane Street, Unit 124, Vaughan, ON L6A 4H7

About the Role
MediOne Physicians is seeking an organized, proactive, and dependable Clinic Lead / Senior Medical Office Assistant to provide day-to-day leadership and operational oversight at one of our clinic locations.
This is a junior leadership position with opportunities for growth within MediOne. The role is ideal for an IMG, RN, or RPN with medical clinic experience who is interested in developing their leadership skills and progressing into healthcare operations or clinic management.
The Clinic Lead acts as the senior MOA and on-site lead for the location. They will be based alongside the front-desk team but will primarily focus on leadership and operational responsibilities, stepping into regular MOA/front-desk duties when additional support is required.
The Clinic Lead reports directly to the Clinic Manager.
Key Responsibilities
MOA Leadership & Support
- Provide day-to-day coaching, guidance, and support to the MOA team.
- Ensure MOA workflows, procedures, daily checklists, and assigned responsibilities are completed accurately.
- Assist with training and onboarding new MOAs.
- Monitor team workload and step in to support the front desk during busy periods.
- Identify recurring performance, workflow, or attendance concerns and escalate them to the Clinic Manager.
Physician & Patient Experience
- Act as the primary on-site contact for routine physician administrative and operational concerns.
- Gather physician feedback, address routine issues, and ensure concerns are appropriately followed up or escalated.
- Monitor patient flow and help maintain an efficient and professional patient experience.
- Assist with escalated patient concerns when appropriate.
- Take ownership of the location's Google Reviews and patient feedback, including encouraging reviews, monitoring performance, and escalating significant concerns.
Clinic Operations
- Oversee the day-to-day flow and organization of the clinic.
- Ensure opening, closing, and operational procedures are completed appropriately.
- Monitor outstanding administrative tasks and ensure appropriate follow-up.
- Identify operational, staffing, equipment, IT, or facility concerns and escalate them when required.
- Help ensure clinic policies, privacy requirements, and operational standards are consistently followed.
Clinic Premises & Presentation
- Conduct regular clinic walkthroughs to ensure the premises are clean, tidy, organized, and professionally presented.
- Monitor cleaning standards and report deficiencies or recurring issues with cleaning services.
- Ensure reception areas, waiting rooms, washrooms, exam rooms, and common areas are maintained appropriately.
- Ensure clinic signage, notices, business cards, brochures, and other patient-facing materials are current, stocked, and professionally displayed.
- Identify maintenance, furniture, equipment, cleanliness, or presentation issues and ensure they are reported and followed up on.
Inventory & Vaccine Oversight
- Oversee inventory checks and ensure medical, administrative, and general clinic supplies remain appropriately stocked.
- Ensure inventory records and checklists are completed accurately.
- Monitor vaccine inventory, stock levels, and expiry dates.
- Ensure vaccine temperature logs and required documentation are completed accurately and consistently.
- Promptly escalate inventory discrepancies, temperature concerns, expired vaccines, or other issues.
Qualifications
- Previous medical clinic or healthcare experience is required.
- Previous junior leadership, team lead, supervisory, or similar leadership experience is required.
- IMG, RN, or RPN, or have relevant professional experience in one of these capacities is recommended.
- Robust understanding of medical clinic and front-desk operations.
- Experience with electronic medical record (EMR) systems is preferred.
- Strong communication, organization, and problem-solving skills.
- Comfortable coaching and providing direction to team members.
- Proactive, detail-oriented, accountable, and able to work independently.
- Strong commitment to professionalism, patient service, and confidentiality.

Schedule & Availability
- This is a full-time, permanent position working 37.5 hours per week.
- The regular schedule is Monday to Friday, 9:00AM–5:00PM, with a 30-minute unpaid lunch break.
- Some weekends may be required. During weeks when the Clinic Lead works on a weekend, one weekday will be scheduled off to maintain the regular full-time work schedule.
Compensation $43,000–$45,000 per year, depending on experience.
