Position: Dayhome Agency Consultant
Reports to: Agency Director / Program Manager
Employment Type: [Contract]
Position Summary The Dayhome Agency Consultant is responsible for supporting, monitoring, and guiding approved family dayhome educators to ensure that each dayhome provides a safe, healthy, nurturing, and developmentally appropriate environment for children.
The Consultant serves as a professional link between the agency, educators, children, and families. The Consultant is expected to maintain regular communication with educators, conduct monitoring visits, provide guidance and resources, follow up on concerns, and ensure agency policies and applicable Alberta requirements are followed.
Key Responsibilities
1. Educator Support and Communication
- Maintain regular communication with assigned dayhome educators.
- Provide professional guidance, resources, and practical support to educators.
- Assist educators with questions regarding daily programming, child development, behaviour guidance, health, safety, and parent communication.
- Help educators understand and follow agency policies and procedures.
- Support educators when they experience challenges with children, parents, or their dayhome operation.
- Encourage educators to maintain a professional and respectful relationship with families.
1. Monitoring Visits
- Conduct regular monitoring visits to assigned dayhomes in accordance with agency procedures and Alberta requirements.
- Observe the overall quality of care and the children's environment.
- Review indoor and outdoor play areas, sleeping arrangements, cleanliness, safety, and general conditions.
- Observe children's activities and interactions with the educator.
- Review required records, documentation, attendance, emergency information, medication records, and other applicable forms.
- Identify potential health, safety, licensing, or program concerns.
- Document monitoring visits accurately and submit required reports to the agency.
1. Compliance and Safety
- Ensure educators understand and follow applicable Alberta Family Dayhome licensing requirements and agency policies.
- Follow up promptly on identified safety, health, supervision, or compliance concerns.
- Report reliable or unresolved concerns to the Agency Director or appropriate authority according to agency procedures.
- Assist with incident, complaint, and investigation follow-up when assigned.
- Ensure corrective actions are documented and followed through within the required timeframe.
- Maintain confidentiality of children, families, educators, and agency information.
1. Child Development and Programming
- Support educators in providing age-appropriate and developmentally appropriate activities.
- Review daily programming and encourage a balanced variety of indoor and outdoor activities.
- Provide suggestions regarding language development, physical development, social-emotional development, cognitive development, and creative activities.
- Encourage inclusive practices that respect children's individual needs, abilities, cultures, and backgrounds.
- Assist educators in identifying developmental concerns and communicating appropriately with families and the agency.
1. Parent and Family Support
- Respond professionally to parent concerns and questions when assigned by the agency.
- Assist with communication between educators and parents when necessary.
- Document parent complaints and concerns objectively.
- Follow agency procedures for complaints, investigations, and resolution.
- Protect the privacy and confidentiality of all children and families.
1. Educator Documentation
- Review educator files and required documentation during monitoring visits.
- Ensure required forms, certificates, training records, emergency information, attendance records, and other documentation are current.
- Follow up on missing or expired documentation.
- Maintain accurate electronic and/or paper records.
- Submit monitoring reports and other required documentation to the agency in a timely manner.
1. Professional Development
- Identify training and professional development needs of educators.
- Encourage educators to maintain required certifications and training.
- Share relevant resources, training opportunities, and best practices.
- Participate in agency staff meetings, professional learning sessions, and training.
- Keep current with changes to Alberta childcare legislation, standards, policies, and best practices.
1. Emergency and Incident Support
- Respond appropriately to serious incidents, complaints, emergencies, or urgent safety concerns.
- Assist educators with emergency procedures when required.
- Ensure incidents are documented and reported according to agency policy and applicable requirements.
- Follow up with educators after incidents to ensure corrective measures are implemented.
Qualifications
- Knowledge of Alberta family dayhome or childcare regulations and standards.
- Experience working with young children and/or in a childcare setting.
- Strong understanding of child development and developmentally appropriate practice.
- Strong communication, organizational, and documentation skills.
- Ability to work independently and manage multiple dayhomes and priorities.
- Ability to identify health, safety, supervision, and compliance concerns.
- Professional, respectful, and non-judgmental approach when working with educators and families.
- Valid driver's licence and reliable transportation may be required depending on the assigned service area.
- Current First Aid certification and other required training, as applicable.
- Child Care Certification at least level 2 or relevant early childhood education experience is an asset.
The Consultant is expected to:
- Complete assigned monitoring visits on schedule.
- Maintain accurate and timely documentation.
- Follow agency policies and procedures consistently.
- Promptly report serious concerns to agency management.
- Maintain professional communication with educators and families.
- Protect confidential information at all times.
- Provide constructive support rather than unnecessary criticism.
- Follow up on identified concerns until appropriate action has been completed.
- Maintain current knowledge of applicable childcare requirements.
- Represent the agency professionally at all times.
Confidentiality The Consultant must maintain strict confidentiality regarding children, families, educators, agency operations, records, complaints, incidents, and other private information. Confidential information must only be shared with authorized individuals and in accordance with agency policies and applicable legislation. Other Duties The Consultant may be required to perform other reasonable duties related to the operation and quality assurance of the dayhome agency as assigned by the Agency Director or Program Manager.
