Dr. Sal Alcaire & Associates – Dentistry on Maitland is seeking an experienced, organized, and personable Dental Receptionist to join our team.

The ideal candidate is dependable, detail-oriented, and comfortable working in a busy dental environment. You will work closely with our dentists, hygienists, assistants, and fellow administrative team members to provide excellent patient care and keep the office running smoothly. Room for growth for qualified candidates who show leadership and value in the office.

Robust teamwork and communication skills are essential for this position. Dentrix experience an asset but not required.

Responsibilities

- Welcome patients warmly and professionally and assist them throughout their visits.
- Work collaboratively with other receptionists and clinical team members to support efficient patient flow and daily office operations.
- Answer and manage a multi-line telephone system promptly and professionally.
- Schedule, confirm, reschedule, and coordinate patient appointments using Dentrix.
- Accurately manage patient check-in and check-out.
- Create and update patient records in Dentrix.
- Enter and update insurance information, coverage details, treatment information, and patient payments in Dentrix.
- Submit dental insurance claims electronically and follow up on outstanding or rejected claims when necessary.
- Prepare, submit, track, and follow up on patient insurance predeterminations and treatment estimates.
- Clearly explain treatment estimates, insurance coverage, and patient balances.
- Collect and accurately process payments by cash, debit, credit card, or cheque.
- Prepare office cheques, daily deposits, payment summaries, and related financial documentation.
- Reconcile daily transactions and ensure payments are entered accurately.
- Print and review daily, weekly, and monthly Dentrix reports as requested.
- Maintain accurate recall lists, appointment reports, outstanding treatment reports,



accounts receivable information, and other administrative reports.
- Communicate with patients regarding appointments, outstanding treatment, insurance information, and account balances.
- Coordinate with dental laboratories, specialists, insurance companies, and other healthcare offices when required.
- Manage incoming and outgoing emails, referrals, correspondence, faxes, and patient documentation.
- Protect patient confidentiality and follow all applicable Ontario privacy requirements, including PHIPA.
- Assist fellow team members during busy periods and contribute to a respectful, supportive, and positive workplace.
- Perform other administrative duties necessary for the efficient operation of the practice.

Qualifications
- Previous experience working as a Dental Receptionist or Dental Administrator an asset
- Experience using Dentrix is an asset
- Knowledge of dental terminology, common dental procedures, treatment plans, and insurance claim processes.
- Experience submitting dental claims and predeterminations.
- Comfortable processing payments, preparing deposits, and working with financial reports.
- Strong computer, telephone, email, and general administrative skills.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- High level of accuracy and attention to detail.
- Ability to prioritize tasks and remain calm in a busy, fast-paced environment.
- A professional, compassionate, and patient-focused approach.
- Reliable, punctual, and able to work effectively as part of a team.
- Ability to maintain strict patient confidentiality.
