Full-time Bilingual (French and English) Administrative Assistant

Position: Full-time Bilingual Administrative Assistant - Lakes Erie and St. Clair Catholic Family of Parishes

Primary Work Location: 5407 Comber Sideroad, Comber, Ontario

Commitment: 35 hours/week. Standard working hours will be Monday to Friday from 9:00 a.m. to 4:30 p.m. (30 minute unpaid lunch per day). Periodic variations in the schedule may be required to meet business needs.

Compensation: Expected wage range: $18.82 - $26.24 hourly.

Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or professional designations. This position is eligible for participation in the DOL’s lay staff benefits and pension plans.

POSITION SUMMARY

Reporting to the Business Manager, the Administrative Assistant is responsible for administrative supportand reception for the Lakes Erie and St. Clair Catholic Family of Parishes.

SUMMARY OF DUTIES:

· Provide face-to-face, online and/or telephone reception for parishioners, vendors, contractors and visitors to the parish office.

· Coordinate hall rentals and associated rental contracts. Ensure booking needs are communicated to custodial staff on a timely basis.

· Assist with funeral planning supports and communications.

· Provide administrative support for the parish.

Administrative support duties include, but are not limited to:

· Translation of correspondence from French to English and visa versa.

· Organize, communicate, prepare agendas, record meeting minutes, and follow up on action items as required for meetings and/or events of the Family of Parishes.

· Maintain accurate records and files, both electronic and paper based, including sacramental records.





· Ensure timely completion of required records for certificates and licenses and assist with all administrative aspects of sacramental preparation and documentation.

· Attend to appointments, phone messages, travel arrangements and meetings schedules for the Pastor and Associate Priests.

· Manage, create and/or update social media and digital based communications (Facebook, Instagram, etc.)

· Manage, create and/or update the Family of Parishes bulletins, calendars, room bookings, mass intentions, etc.

· Manage correspondence, mail, reports, and expenses.

· Inventory and order required supplies for the staff and churches.

· Interact and assist, where appropriate, with other staff and committees to support the mission and strategies of the Diocese and Family of Parishes.

· Other duties of a similar nature as assigned

QUALIFICATIONS AND REQUIREMENTS:

· College diploma in Business, Office Administration or a related field of study and/or equivalent direct experience in this field.

· Minimum of 2 years of experience in a professional administrative environment.

· Fully bilingual (read, write and speak) in both French and English.

· Excellent professional verbal and written communication skills in both French and English.

· Prior proven experience providing effective and welcoming customer service.

· Solid organizational skills with the ability to effectively multi-task, prioritize and meet deadlines.

· Highly proficient in Microsoft 365 and Office Suite (Word, Excel, Outlook, PowerPoint), applied knowledge of Canva and/or other publishing programs.

· A team player who is adaptable, proactive, and resourceful in solving problems.

· Strong interpersonal skills to work collaboratively with colleagues, clergy, and external parties.





· Ability to maintain strict confidentiality of highly sensitive materials.

· Team-oriented, supportive, flexible team player with a high degree of initiative.

· Resourceful self-starter with thorough attention to detail with a desire to produce quality projects and results.

· Have a faith-based understanding and appreciation of the Catholic Church and the Diocese of London, its tenets and culture, along with a deep respect for its leadership, clergy and parishioners.

· Professional representative of the Diocese of London at all times with an understanding of and desire to support and promote the mission of the Diocese of London.

A police record check as deemed suitable by the Diocese of London will be required of the successful candidate.
