ABOUT THE ROLE The Municipal Clerk II reports to the Director of Finance and performs administrative, clerical and financial support activities ensuring effective, efficient and accurate administrative and financial operations for the Town. This is a permanent full-time position working 35 hours per week.

SOME OF WHAT YOU’LL DO

· Maintain responsibility for assigned function areas, ensure work is completed accurately, efficiently and in accordance with legislation, policies and internal controls.

· Process financial transactions which may include accounts receivable, accounts payable, cash receipting, utilities, taxes, and payroll.

· Perform data entry, reconciliation, and routine balancing, including assistance in month-end and year-end processing.

· Maintain organized and accurate records, files and documentation in accordance with records management practices.

· Prepare reports, summaries, and support documentation as required.

· Provide courteous and professional service to the public in the office, by telephone and through written correspondence.





· Strong organizational and time management skills with the ability to prioritize work and meet established deadlines.

· Demonstrated ability to manage an independent workload, anticipate demands and adjust priorities in a dynamic environment ensuring accuracy, timeliness and accountability for assigned responsibilities.

· Respond to inquiries with assigned areas of responsibility and redirect or escalate matters as appropriate.

· Communicate clearly and professionally with coworkers, management staff, other departments and external stakeholders.

· Provide backup coverage and assistance to other administrative staff during peak periods, absences or shifting operational priorities.

· Assist with special projects, process improvements, audits and one-time initiatives.

· Adapt to changes in assigned duties and responsibilities as organizational needs evolve.

· Take ownership of assigned responsibilities and proactively identify issues, inefficiencies or risks.

· Communicate operational challenges, errors, discrepancies and relevant information to the administrative team and Director of Finance in a timely manner.

· Understand and follow both oral and written instructions accurately.

· Read, write, speak and understand English.

· Exercise discretion and maintain confidentiality in sensitive matters.

· Work cooperatively with the management team and support other departments.

· Work with minimal supervision.

· Ability to manage multiple tasks and shifting priorities in fast paced environments.

· Willingness and flexibility to assume new responsibilities as required.

· Effectively and efficiently operate equipment including, but not limited to, personal computer, telephone system, photocopier/scanner/fax machine.

WHAT YOU BRING

· High school diploma or equivalent; post-secondary education in Office Administration or a related field is considered an asset.

· Previous experience in an administrative or office support role.

· Experience working in a municipal environment.





· Familiarity with cash handling procedures and financial transactions.

· Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe.

· Ability to learn and effectively use financial and administrative software.

· An acceptable Criminal Record Check

· An acceptable Driver’s Abstract

· A valid Class 5 Driver’s License
