The Project Coordinator, Restaurant Operations plays a critical role in driving Recipe's IT Projects forward. This role entails rigorous project coordination and robust administrative support to maintain project momentum. The Coordinator is responsible for managing detailed meeting documentation, aggressively tracking action items, identifying logistical bottlenecks, and executing vital IT procurement and bookkeeping tasks to ensure deployments remain on schedule and within budget.
What you'll do in this role: Project Administration &
- Execution (20%) Assist the Project Manager with day-to-day administrative functions, processes, and activities for the Project Management team Ensure comprehensive project documentation is accurately maintained and organized throughout the entire project lifecycle Track project timelines, milestones, and deliverables, alerting the Project Manager to any risks of delay Assist in troubleshooting and resolving logistical or administrative issues that arise during the project Schedule stakeholder meetings, document detailed meeting minutes, and generate actionable task reports Restaurant Systems Job Aid Creation, Training (20%) Curating new and maintaining existing Restaurant Systems training materials for use by all brands and Home Office Teammates along with maintaining all Systems Resource sites Build and deliver restaurant systems training support, to create subject matter experts at the brand level using “Train the Trainer” methodology, via multiple methods including but not limited to: webinars, classroom facilitation, Google Classroom Team &
- Task Tracking (20%)
Support the Project Manager in tracking resource availability and ensuring the team has the necessary materials and system access at the right time
Document task assignments and rigorously follow up with team members to track progress against expected project milestones
Facilitate cross-team communication to help project team members stay aligned on tasks and dependencies
Assist project managers in monitoring overall project progress and keeping project management software/trackers up to date Financial &
- Procurement Support (20%) Assist the Project Manager in formatting, updating, and maintaining project management documents such as budgets, schedules, and project plans
Execute IT administrative and bookkeeping tasks, such as processing invoices, generating purchase orders, tracking inventory reports, and filing financial documents
Coordinate the administrative steps of the IT procurement process (e.g., submitting POs, tracking hardware deliveries, receiving goods) Stakeholder Communication &
- Reporting (20%) Providing regular project updates, instructions and key pieces of information to various stakeholders Act as a key administrative point of contact for stakeholders, ensuring correspondence and questions are routed to the correct team
Support the Project rollouts in client/stakeholder meetings by capturing requirements, acceptance criteria,
and agreed-upon timelines in the project logs
Distribute project plans, action items, and risk/issue logs to key stakeholders as directed by the Project Team
Compile project data to assist the Project Manager in the production of regular progress reports and leadership updates
Manage and build strong, collaborative relationships with multiple cross-functional teams What we are looking for from you: University Degree or College Diploma in Business Administration, Information Technology, or a related field
Robust organizational and administrative skills with an obsession for detail and relentless follow-up
Excellent communication and interpersonal skills to effectively collaborate with cross-functional technical and operational teams
Proficiency in project management and collaboration tools (e.g., ClickUp, Jira, Smartsheet, G Suite)
Experience in IT project coordination, retail, or restaurant POS rollouts is considered a strong asset

Pay Range: $65,000 - $80,000
