Ti Developments Ltd. is looking for an experienced and organized Construction Project Coordinator to join our team.
We are a growing construction company specializing in commercial construction, tenant improvements, renovations, and residential construction throughout the Okanagan. We are looking for someone who can work closely with our Project Managers and Site Leads to keep projects organized, on schedule, and moving forward.
This is a hands-on construction coordination position. The successful candidate will need to be comfortable working with drawings, contracts, suppliers, subcontractors, schedules, budgets, and project documentation while also spending time on active construction sites.
What You'll Do
Project Administration
- Assist Project Managers with the day-to-day administration and coordination of construction projects.
- Maintain organized project files, records, drawings, correspondence, and documentation.
- Prepare, distribute, and track project documentation.
- Maintain document control systems and project management software.
- Assist with project startup, turnover, and closeout documentation.
- Ensure project records are accurate, complete, and kept current.
Contract Administration
- Review contracts, drawings, specifications, consultant instructions, and project requirements.
- Assist with preparing and executing subcontract agreements.
- Track contractual deadlines, deliverables, notices, and correspondence.
- Maintain logs for changes, RFIs, deficiencies, and other project-related items.
Estimating, Procurement & Purchasing
- Obtain, review, and compare supplier and subcontractor quotations.
- Prepare material take-offs and assist with estimating for in-house work.
- Issue purchase orders and subcontract agreements as directed.
- Track material orders, lead times, deliveries, and backorders.
- Coordinate with suppliers and subcontractors to ensure materials and services are available when required.
Scheduling & Coordination
- Assist Project Managers with developing and maintaining project schedules.
- Coordinate project meetings and prepare agendas.
- Track action items and follow up with responsible parties.
- Coordinate consultant reviews, inspections, testing agencies, utility providers, and other project requirements.
- Assist with manpower and resource planning.
- Identify potential scheduling issues and bring them to the attention of Project Management.
Financial Administration
- Assist with project budget tracking and cost control.
- Monitor purchase orders, commitments,
subcontract values, and project expenditures.
- Assist Project Managers with maintaining accurate project cost information.
- Help identify discrepancies or potential cost issues before they become larger problems.
Change Management
- Prepare, distribute, and track Requests for Information (RFIs).
- Track consultant and client responses and communicate information to the project team.
- Assist with pricing and preparation of change orders.
- Coordinate revisions resulting from design, scope, or site changes.
- Ensure changes are properly documented and communicated to affected trades and suppliers.
Site Support
- Conduct periodic site visits to monitor project progress and assist Project Managers and Site Leads.
- Support Site Leads with project administration and documentation.
- Coordinate inspections and occupancy-related documentation.
- Assist with deficiency tracking and project closeout.
- Ensure current drawings, specifications, and project documents are available on site.
- Help identify issues in the field and communicate them to the appropriate Project Manager.
Client & Trade Communication
- Maintain skilled communication with clients, consultants, subcontractors, suppliers, inspectors, and regulatory authorities.
- Respond to project inquiries promptly and professionally.
- Assist with project reporting and status updates.
- Follow up with trades and suppliers to keep outstanding items moving.
- Represent Ti Developments professionally when dealing with clients and project partners.
Health & Safety
- Support Ti Developments' health and safety program and company safety initiatives.
- Maintain safety orientation records and required site documentation.
- Participate in safety meetings when required.
- Report safety concerns to Project Management immediately.
- Promote compliance with applicable safety regulations, site requirements, and company policies.
Shop, Tools & Fleet
- Organize periodic tool checks and maintain accurate tool records.
- Compile and maintain the company's power tool inventory.
- Conduct periodic vehicle checks to ensure required supplies are stocked, maintenance is up to date,
and vehicles are kept clean and organized.
- Coordinate shop tasks with department heads.
- Help ensure the shop is cleaned, organized, and properly stocked on a weekly basis.
What We're Looking For The ideal candidate will have:
- Previous experience in construction project coordination, project administration, estimating, or a similar construction role.
- A solid understanding of commercial construction and construction processes.
- Ability to read and understand construction drawings and specifications.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to stay on top of multiple projects and deadlines.
- Ability to work independently while also working closely with Project Managers, Site Leads, trades, and suppliers.
- Strong computer skills and the ability to learn and use project management software.
- Experience with construction estimating, material take-offs, purchasing, or contract administration is an asset.
- A valid driver's licence and reliable transportation.
- Ability to travel between office, shop, suppliers, and construction sites as required.
The Right Person We're looking for someone who takes ownership of their work and doesn't need to be chased to complete tasks.
You should be comfortable picking up the phone, following up with a subcontractor, tracking down a missing delivery, reviewing a drawing, putting together a material take-off, updating a schedule, or heading to site to help solve a problem.
Construction moves quickly, and priorities can change throughout the day. The successful candidate will be organized, proactive, practical, and able to keep things moving when there are a lot of competing priorities.

Job Type: Full-time Location: Kelowna, BC
Schedule: Monday to Friday
Pay: $50,000.00-$75,000.00 per year
