Job Overview
We are seeking a motivated and detail-oriented Purchasing & Inventory Assistant (part-time) to join our dynamic team. In this role, you will provide accurate and timely administrative support for purchasing, inventory control, and logistics activities across the company. The role is primarily responsible for entering and maintaining purchasing and inventory transactions , checking supplier invoices against purchase orders, processing inventory returns and transfers, and updating vendor portals and internal records.
This position offers an excellent opportunity to develop your skills in sourcing, vendor management, and ERP systems within a thriving manufacturing environment.
Schedule: Mon - Fri 4 hrs/day
Duties
Purchase Orders, Invoices & Data Entry
- Create and update purchase orders in Epicor accurately and within required timelines.
- Enter supplier, product, quantity, pricing, due-date, shipping, and other required purchasing information.
- Update purchase orders with supplier confirmations, order numbers, revised dates, freight information, and other changes.
- Cross-check supplier invoices against purchase orders and receiving records, identifying discrepancies in pricing, quantities, freight, taxes, or other charges.
- Maintain complete and accurate supporting documentation for purchasing transactions.
Inventory Control
- Process inventory returns, credits, adjustments,
and inter-branch transfers accurately and promptly in Epicor.
- Prepare and maintain Return Material Authorizations (RMAs) and supporting records for supplier returns.
- Confirm that inventory movements are properly documented and reflected in the system.
- Review transaction information for missing, duplicate, outdated, or incorrect entries and initiate corrections as required.
- Maintain accurate records of open returns, transfers, credits, and other outstanding inventory items and follow through to completion.
Vendor Portals & Supplier Follow-Up
- Use supplier and vendor portals to place or review orders, retrieve confirmations and invoices, submit returns, and monitor order status.
- Download, organize, and maintain supplier documentation in the appropriate company systems and folders.
- Follow up with suppliers regarding confirmations, backorders, credits, returns, shipment dates, and missing documentation.
- Escalate unresolved supplier issues, material delays, or transaction discrepancies to the Manager in a timely manner.
Support the Manager with purchasing, inventory, logistics, and other administrative tasks as required. Maintain confidentiality and comply with company procedures, rules, and applicable requirements.
Contribute to team effort and complete other duties as required or assigned.
Skills
- Minimum Grade 12 education; post-secondary education in business administration,
accounting, purchasing, supply chain, or a related field is preferred.
- Previous experience with data entry, purchase orders, invoice matching, inventory administration, purchasing, or accounting support is preferred.
- Experience with Epicor or another ERP, purchasing, or inventory-management system is an asset.
- Strong computer skills, including Microsoft Office, and the ability to learn and confidently use Epicor and vendor portals.
- High level of accuracy and attention to detail when entering and reviewing transactional information.
- Strong organizational and time-management skills, with the ability to prioritize work and meet deadlines in a part-time schedule.
- Effective written and verbal communication skills.

Pay: $22.00-$25.00 per hour
Expected hours: No less than 20.0 per week

Experience:
- Data entry: 1 year (required)
- Purchasing: 1 year (preferred)
- Logistics or Inventory administration: 1 year (preferred)
