Role Overview

Supply Ontario is seeking a Junior Project Control Officer to provide project coordination and administrative support to Emergency Services implementation teams. The successful candidate will serve as a central coordination point across multiple workstreams, supporting scheduling, meeting coordination, documentation, reporting, action tracking, and stakeholder follow-up.

This role requires strong organizational, communication, prioritization, and critical-thinking skills, along with the ability to manage multiple competing priorities and ensure project information remains accurate, current, accessible, and actionable.

Key Responsibilities

- Coordinate calendars, meetings, working groups, agendas, meeting materials, minutes, decisions, and follow-up actions for Emergency Services implementation teams.
- Schedule and organize recurring and ad hoc meetings, ensuring participants receive the required information, materials, and context.
- Prepare and maintain meeting records, action-item lists, decision logs, status materials, briefing notes, presentations, correspondence, and project documentation.
- Maintain document repositories, trackers, templates, and shared workspaces to ensure information is accurate, organized, properly labelled, and easily accessible.
- Gather updates from team members and review information for completeness and consistency.
- Follow up with stakeholders to clarify missing information, accountabilities, next steps, and outstanding actions.
- Identify scheduling conflicts, documentation gaps, unclear accountabilities, overdue items, and issues requiring attention.
- Coordinate information flow across Emergency Services workstreams, internal partners, and stakeholders.
- Support Project Managers and Implementation Leads with risk registers, routine reporting, document preparation, meeting follow-up, and request coordination.




- Provide administrative support for budgeting, invoice tracking, expense processing, procurement follow-up, and related coordination activities.
- Consolidate workstream updates covering progress, gaps, risks, issues, decisions required, and next steps.

Required Skills & Experience Skill / Experience Requirement Executive, administrative, or project coordination support in a professional workplace with multiple stakeholders and competing priorities Required Strong scheduling, coordination, organization, prioritization, and time-management skills Required Strong communication, critical-thinking, and follow-through skills Required Ability to identify gaps, clarify next steps, and manage competing requests Required Proficiency with Outlook, Word, Excel, PowerPoint, SharePoint, Teams, and related collaboration platforms Required Strong written and verbal communication skills Required Ability to prepare notes, summaries, briefing materials, presentations, correspondence, and documentation Required Experience coordinating calendars, meetings, agendas, materials, minutes, decisions, action items, and follow-up across multiple workstreams Required Desired Skills & Qualifications

- Post-secondary education in Business Administration, Project Coordination, Health Administration, or a related field; equivalent education and experience may be considered.
- Working knowledge of basic project coordination concepts, including timelines, roles, actions, decisions, risks, issues, and status reporting.
- Experience with project coordination or project management tools such as MS Project, MS Planner, or similar platforms.
- Experience supporting health-system, implementation, or multi-workstream project environments.
- Public sector experience is preferred.

Deliverables
- Meeting schedules, agendas, materials, minutes, decision records, and follow-up action logs.
- Current and well-organized project documentation, including action-item lists, decision logs, status materials, briefing notes, presentations, correspondence,



trackers, templates, repositories, and shared workspaces.
- Consolidated workstream updates identifying progress, gaps, risks, issues, required decisions, and next steps.
- Routine project coordination materials, including risk-register updates, status-reporting inputs, meeting follow-up summaries, and request-tracking documentation.

Work Arrangement & Additional Terms
- The position is currently classified as Hybrid.
- The resource will generally work 2–3 days per week onsite, with onsite requirements determined at the Hiring Manager’s sole discretion.
- The engagement is for 250 Business Days, with an option to extend for up to an additional 250 Business Days at the Agency’s discretion.
- The resource must comply with all Agency policies and procedures.
- The Agency will provide a laptop.
- The resource is expected to provide at least one additional monitor, external keyboard, and mouse at their own expense.
- When working remotely, the resource must have a private office space and cannot work from an open communal space.
- The home-office internet connection must be hard-wired and provide suitable bandwidth for the role’s IT requirements.
- If the required home-office conditions cannot be met, the resource may be required to work full-time onsite, and the hybrid option will no longer be available.
- Agency systems cannot be accessed from outside the Province of Ontario without prior authorization.
- Agency assets, including laptops and related equipment, cannot be removed from Ontario without prior written approval from the Agency.
