About Rainbow Greenhouses
Rainbow Greenhouses supplies national retailers and independent growers across North America with year-round live goods. With over 5 million sq. ft. of greenhouse space in BC and Alberta, we operate advanced, resource-efficient growing systems powered by skilled, hands-on teams with decades of expertise. Our full-service model supports retailers with consistent quality, availability, and innovative growing solutions. At Rainbow, we grow plants, people, and partnerships with long-term success in mind.

About the Opportunity
As a member of the Sales team, the Program Coordinator organizes, executes and communicates the details of an assigned outdoor program and acts as the liaison between sales and other internal departments. You keep the program moving — orders entered accurately and on time, product and item data correct, and the right information reaching production, logistics, merchandising and stores before it becomes a problem.

This is not an administrative role — coordinating means being in control of how the work flows. It takes organization, follow-through, real comfort in Excel, and the confidence to chase things down. Our outdoor season is concentrated into an intense spring window when volumes swing hard and hours extend; the off-season is steadier. It is also a genuine entry point — several people on our sales team started here and grew into program management, and we will invest in developing you.

What You'll Do

Process orders and POs accurately and on time — changes, not-availables and discrepancies

Manage order lines, inventory allocation, cart recipes/kits and Plant-line orders

Maintain item and catalogue data — pricing, SKUs, article setup, signage and labels

Prepare sales reports (daily, weekly, seasonal, ad hoc)

and surface what the numbers show

Maintain the shipping tracker and order sheets; support inventory and AR investigations

Troubleshoot order and reporting issues — fix the root cause, not just the symptom

Liaise with production, logistics, picking and merchandising — flag issues before they land

Communicate plans, cost/retail changes and shipping details to teams, head office, stores and carriers

Document processes and records; build playbooks, catalogues and training materials

Support the Account Manager and contribute ideas to program development

Any other tasks that may arise.

What You Bring
Must-haves

Confident, independent Excel — XLOOKUP/VLOOKUP, basic queries, and troubleshooting formulas (assessed in the interview)

Peak-season availability — early starts and Saturday work through spring

Proficiency across MS Office — Outlook, Teams, Word, PowerPoint and SharePoint

Strong organization, multitasking and time management

Reliable follow-through, initiative and proactive communication

Strong problem-solving instincts and a sense of urgency — we work with live product

Accurate data entry and strong attention to detail

Comfort with ambiguity and a willingness to learn

High school diploma or equivalent (post-secondary an asset)

Nice-to-Haves

Experience in order entry, replenishment, inventory, logistics, warehousing or retail operations

Experience with an ERP or order management system

Experience building or maintaining reports in Excel

Experience in a business with a busy season
