The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. As a Primary Care Network, we work alongside hundreds of family doctors (our members) to support the patient-doctor relationship and provide programs and services at no cost todoctororpatient.
As theFacilities & IT Administrator,you’llbe responsible foroffice administration and facility maintenance and coordination.You’llalso supportour IT teamwithasset management and handling CWC PCN mobile devices.
This is a short-term, temporary contractwith an expected end date of Dec.31, 2026,with the possibility of extension. This position is100per centonsite at our Main Office,locatedat 5966 Centre St.S.E., Calgary.
Responsibilities
Main officeadministration
ProvideMainOffice reception coverage.
Screen and forward incoming calls and messages.
Monitor email inboxes and respond to or forwardmessagesas necessary.
Arrange couriers, handle incoming and outgoing mail,andcoordinate with overnight mail/courier services; drop off outgoing mail atnearbymailbox when needed.
Assistin issuing and retrieving CWC PCN assets from incoming ordepartingemployees.
Facility maintenance and coordination
Maintain inventory andpurchaseoffice supplies.
Ensure the coffee-tea-water contract isexecutedand equipment maintenance is performed with vendors.
Maintain the physicalMainOffice space, ensuring a secure, clean, professional,and functional environment.
Oversee quality of service and coordinate the frequency and scope of cleaning and other maintenance related contracts/services with external vendors.
If there is a delay in snow removal services,salt slippery walkwaysandshovelsnowat theMainOffice andthe Primary Care Centretomaintainhealth and safety legislation.
Coordinate essential services such as waste disposal, recycling, secure papershreddingand other related services.
Coordinate the inspection and upkeep of CWC PCN facilities todeterminethe need for maintenance repairs or renovations (i.e.,HVAC, mechanical, electrical, plumbing, carpentry, critical systems, etc.).
Monitorparking requirements atMainOffice.
Conductvisitorand employee orientations to the facilities.
Set up the multipurpose room for meetings and events.
Issue and retrieveemployee key fobs.
Manage the alarm system codesfor employees, including training and organizational support.
Managethevideo surveillance system, including assisting with incident retrieval and investigation, managing remote access controls, and ensuring regular system maintenance is conducted.
Manage key inventory including access door, desk,and cabinet keys.
IT administrative support
Serve as back-up support to the ITteam,including user profile setup, addingnew staff, removing departed staff, device management and deployment, training, documentation,and providing technical support.
Act as the first point of contact for meeting room technology, office printers and video conferencing equipment troubleshooting, setup,and service scheduling.
Support the IT department in coordinating various projects, tasks,and initiatives as assigned.
Education: A post-secondary diploma or certificate inthe area(s) of office administration, business administration, network system administration,and/or building and maintenance supportisrequired.
Experience:
A minimum offive years’work experiencein office administration and building maintenance support isrequired.A minimum offiveyears’ experiencewith project management principles, document control, and implementation of programs is an asset.
Technical: Microsoft Office (Word, Excel, Outlook,PowerPoint,Teams).
Backgroundcheck: A clear Criminal Background checkisrequiredto start.
CPR: ABasic First Aidcertificate isrequiredto start.
Physicaleffortrequirements: Frequent moderate physical effort is involved in this role. This may involve uncomfortable,awkwardor restrictedmovementwork positions; pushing; pulling; bending; crawling; climbing ladders; and lifting/moving/using objects or equipment offive -20kg/11-44lbs. At times, shoveling snow may berequired.
