Position Description The Academic Registrar oversees the following services: student admissions, program enrolment, course registration, student financial aid, academic scheduling, student data reporting, government liaison regarding international students, and other services as required. The Academic Registrar assists with student recruitment. In collaboration with the Director of Finance the Registrar ensures that fee and tuition payments are processed and tax receipts are issued.

This is an administrative position reporting to the Academic Dean. The Academic Registrar works collaboratively with faculty and other operational staff to ensure a positive academic experience for all ICS students.

About the Organization

ICS is an independent Christian graduate school with a charter from the provincial government of Ontario to grant MA and PhD degrees in philosophy (including an Educational Leadership stream within the MA program), as well as the MWS (Master of Worldview Studies) degree. At ICS, the expertise of our experienced faculty combines with the intimacy of a small school to create a hospitable academic community that welcomes the whole person. Based in the Knox College building at the heart of the historic University of Toronto campus, ICS serves students personably on site in Toronto, online anywhere in the world, and through unique expeditionary learning experiences in Orvieto, Italy and elsewhere.

Key Responsibilities

Managing course offerings with reference to ICS’s academic plan and assisting Program Directors to ensure that the available offerings serve students in completing coherent programs of study; in consultation with Program Directors,



ensure the course catalogue is up to date and posted on the website.

- Contributing to academic quality assurance by advising the Academic Council and Senate.
- Serving as the recorder for the Academic Council and Senate.
- Administratively supervising the process of conferring degrees, diplomas, and certificates to students, including the organization of the annual convocation.
- In collaboration with the Academic Dean, organising the annual Fall retreat.
- Bearing responsibility for the security, privacy, and accuracy of student records.
- In consultation with the Academic Dean, developing academic administration practices and procedures to support the Academic Office.
- Setting up a Google Classroom page for each class and scheduling courses in Zoom.
- Filing reports as required with internal and external stakeholders, and assisting the Academic Dean to prepare annual enrolment reports for academic programs.

Required Qualifications and Skills

- Undergraduate degree from an accredited institution in a relevant field of study.
- Minimum three years of relevant experience.
- Effective planning, problem solving, and collaboration skills.
- Excellent communication skills, both in speaking and in writing, in particular with a view to clear and concise reporting.
- Proficiency in the collection, management, and analysis of information.




- Computer literacy, including familiarity with Google Suite applications.
- Demonstrated ability to deal with complexity, meet deadlines, and work independently.
- Tact, courtesy, and a commitment to confidentiality — the latter in particular with regard to student records.

Preferred Qualifications and Skills

- Relevant experience and understanding of processes related to student enrolment, financial aid, and student advising.
- Knowledge of legislation, regulations, and procedures relating to postsecondary education in Ontario.
- Familiarity with student information systems, Adobe Acrobat, Google Classroom, and Zoom.
- Familiarity with the humanities as a field of graduate study.

Position Status

This position is a full time position. While much of the work involved can be done remotely, the presence of the Academic Registrar in the ICS office suite at 59 St. George Street, Toronto, Canada is required at least one day per week, on a schedule to be approved by the Academic Dean.
