Job Summary The leader in Lifting Equipment Inspections & Repairs in the Barrie area requires an experienced professional to assist and maintain administrative support to a growing company and busy office. This means you will be an integrated role with supplier management, office organization and direct customer contact.

Job Brief

We are looking for a driven, detail oriented, organized and competent Administrative Assistant to provide support in a timely and effective manner. You will work directly with the Office Manager & General Manager of the company and manage tasks based on their direction.

Responsibilities & Duties (Include But Not Limited To)

- Acting as one of the points of contact between the office and internal/external clients
- Undertaking the tasks of receiving calls, following up on projects, email correspondence, paperwork/filing
- Maintain existing filing systems—both digital and paper—to ensure easy retrieval of documents
- Handling requests and queries appropriately
- Maintain schedule, arrange meetings and appointments and provide reminders
- Making job arrangements if necessary
- Provide exceptional customer service by addressing inquiries promptly and effectively via phone or email
- Support office operations by handling appointment scheduling, customer records, and follow needs such as repairs and quotes
- Producing invoices, quotes, purchase orders
- Invoicing customers, following up on accounts receivables and potentially assisting Manager & Bookkeeper on accounts payable.
- Assist with clerical tasks such as correspondence, preparing reports, and managing office supplies inventory
- Handling owner & managers' requests and queries appropriately




- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Attention to detail for proofreading documents and maintaining accurate records

Requirements

- Minimum 3 years of experience as an Executive Assistant, Administrative Assistant, or similar role
- High school diploma required; additional administrative or related qualifications are an asset
- Background in customer service with a professional, courteous, and customer-focused approach
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and QuickBooks for bookkeeping
- Excellent written and verbal English communication skills
- Exceptional organizational, planning, time-management, and multitasking abilities
- Highly detail-oriented, punctual, and dependable
- Ability to remain calm, organized, and effective in high-stress situations
- Self-motivated and able to work independently as well as part of a team
- Discreet and trustworthy when handling confidential information
- Eager to learn and develop knowledge within a new industry
- Skilled, courteous, and customer-focused with a positive attitude
- Flexible and able to adapt to changing priorities and schedules
- Experience in purchasing, part sourcing or inventory management is considered an asset
- Experience with safety inspection documentation, cranes, or crane safety is considered an asset
