Job Overview
We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will provide comprehensive administrative support to ensure smooth office operations and exceptional customer service. Your energetic approach and organizational skills will help maintain an efficient work environment, manage daily tasks, and assist with a variety of clerical functions.
Responsibilities
- Process customer and sales orders accurately and in a timely manner.
- Respond to customer inquiries by email and phone in a professional and timely manner.
- Handle customer correspondence, follow up on inquiries, and provide accurate information regarding orders, products, availability, and delivery status.
- Manage and maintain the Warehouse Management System (WMS), including inventory records, order status, and shipment information.
- Perform regular inventory counts and reconcile physical inventory with system records.
- Monitor inventory levels and identify replenishment needs.
- Prepare and place purchase orders with vendors based on inventory requirements.
- Communicate with vendors regarding order status, delivery schedules, and product availability.
- Coordinate with internal teams to ensure timely and accurate order fulfillment.
- Investigate and resolve inventory discrepancies and order-related issues.
- Perform accurate data entry using Microsoft Office and WMS, ensuring records are complete and up to date.
- Manage front desk duties, including greeting visitors, answering phone calls, and providing professional customer service.
- Maintain professional communication with customers, vendors, and internal teams to ensure smooth daily operations.
- Provide general clerical and administrative support,
including document filing, photocopying, faxing, mailing, and maintaining office supplies.
- Assist with basic bookkeeping and financial record-keeping activities.
- Proofread correspondence, reports, and other documents to ensure accuracy, clarity, and professionalism.
- Maintain a clean and organized front desk and office setting while effectively prioritizing and managing multiple tasks.
- Perform other duties and responsibilities as assigned by the Manager to support daily business operations.
Experience
- Previous experience in customer service, order processing, office administration, inventory control, or a related field is an asset.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent communication and interpersonal skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office, including Word and Excel.
- Experience with a Warehouse Management System (WMS) is an asset.
- Ability to communicate professionally with customers, vendors, and internal teams.
- Fluency in Chinese (Mandarin and/or Cantonese) is an asset.
- Ability to work independently as well as part of a team.
- Willingness to perform other duties as assigned by the Manager.
