Make an impact with our Administration team as an Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a trusted advisor, you’ll ensure the efficient and effective operation of our business.

Responsibilities

- Perform a variety of administrative and clerical activities.
- Review, modify and prepare moderately complex templates, letters, reports PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data.
- Enter, review, and maintain client accounts and contact information.
- Review upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work.
- Coordinate and schedule internal and external meeting and appointment logistics and prepare supporting material.
- Receive and coordinate incoming and outgoing mail and courier deliveries.
- Prepare and submit expense reports.
- Coordinate travel arrangements and reservations.
- Contribute to the development of new ideas and approaches to improve work processes.




- Maintain electronic filing systems.
- Develop a thorough understanding of the internal programs and processes.
- Work collaboratively with other team members and leadership.
- Maintain flexibility to work overtime, as necessary.
- Support leader(s) through calendar and email management, invoicing and A/R.

Skills and Experience

- Post secondary education in business administration is considered an asset.
- 2+ years of related administrative responsibilities.
- Experience in a professional services environment is considered an asset.
- Strong client service focus in dealing with both external and internal clients.
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously.
