Purpose and Scope:

The Administrative Coordinator reports to the Senior Executive Assistant to the CEO. This is a hands-on role supporting the day-to-day operations of our office and various departments. The right person is a natural organizer who enjoys working with people, juggling priorities, solving problems, anticipating needs and making sure things get done. Responsibilities

- Act as a welcoming and professional first point of contact for visitors, vendors, and stakeholders.
- Assist with scheduling, meeting coordination, document preparation, and other requests as needed.
- Provide administrative and project support to the Senior Executive Assistant to the CEO, including assisting with day-to-day priorities and special projects.
- Coordinate Peak packing parties, including scheduling, communications, and onsite logistics.
- Coordinate Rosie the MB Red Potato appearances, including scheduling, transportation, event details, and logistics.




- Support marketing & communications with internal communications, events, promotional materials, and special projects.
- Participate in and support the Social Committee, helping plan and coordinate employee events, celebrations, and engagement activities.
- Manage incoming and outgoing mail, couriers, office supplies, vendors, and general office needs.
- Maintain organized files, records, and databases.
- Keep the office organized and productive while contributing to a positive, welcoming workplace.

Qualifications

- 2–4 years of related administrative experience.
- Post-secondary education in administration, business, communications, or a related field is an asset.
- Valid driver’s license and reliable access to a vehicle, as required for events and business needs.
- Proficient with Microsoft Office (Outlook, Teams, Excel, OneDrive) and comfortable learning new technology.
- Canva experience is an asset.
- Excellent organizational, communication, and interpersonal skills.
- Strong attention to detail with the ability to manage multiple priorities.
- Proactive, resourceful, and able to work independently.
- Ability to handle confidential information with discretion and professionalism.
- Willingness to work occasional evenings or weekends for events and special activities, as required.
- Strong problem-solving skills and a “get it done” attitude.
- Comfortable assisting with onsite events and occasional physical setup/takedown.

Hours: Monday to Friday, 8:00 a.m. to 4:00 p.m.

Salary: 55 to 60k per year
