Appointment Coordinator – Service Department
Dixie Toyota | Mississauga, ON Job Type: Full-Time
Salary: $19.00 per hour + booking-based bonuses
Hours: 32–40 hours per week, 5 days per week, Monday to Saturday
About the Role
Dixie Toyota is looking for a friendly, organized, and customer-focused Appointment Coordinator to join our Service Department. As an Appointment Coordinator, you will be one of the first points of contact for our service customers. You will help customers schedule and understand their service appointments, answer questions, follow up on upcoming visits, and ensure a smooth and positive customer experience.
This is an excellent opportunity for someone who enjoys working with people, has strong communication skills, and is interested in developing a career in the automotive industry.
What You'll Do
- Greet customers professionally in person and over the phone
- Schedule and coordinate customer service appointments
- Handle inbound and outbound customer calls
- Follow up with customers regarding appointments, reminders, and service needs
- Build and maintain positive customer relationships
- Provide customers with information about available automotive services and products
- Assist with service estimates and appointment-related inquiries
- Make X-Time adjustments and support service department workflow
- Process warranty-related service information and ensure proper flow through the department
- Complete all required Toyota University training and courses
- Use dealership systems and technology accurately and efficiently
- Follow dealership policies, procedures, and health and safety standards
- Work collaboratively with Service Advisors, Technicians, and other dealership team members
What We're Looking For
- Grade 12 diploma or equivalent; post-secondary education is an asset
- Previous customer service, automotive, dealership, or service department experience is an asset
- Automotive knowledge is an asset
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Strong organization and attention to detail
- Good problem-solving and time-management skills
- Basic computer and math skills
- Ability to work in a fast-paced, customer-focused workplace
- Willingness to work Saturdays as scheduled
- Valid Ontario driver's licence
- Ability and willingness to operate both automatic and manual transmission vehicles
- PBS dealership software experience is an asset
- Legally authorized to work in Canada
Compensation & Benefits
- $19.00 per hour + booking-based performance bonuses
- Full-time, 32–40 hours per week
- Bi-weekly pay, paid Thursdays

Schedule
This position requires 5 days per week between Monday and Saturday, for a total of 32–40 hours per week. Your regular shift will be assigned by your Team Leader when you start and may be adjusted based on business needs.
