ABOUT THE ROLE

Wellesley Consulting Group (WCG) is seeking a highly organized, digitally-capable and resourceful Business & Operations Management specialist to join the team as an Associate to support WCG and several of its client companies/organizations.

This is a varied, hands-on position for someone who enjoys moving between marketing, sales, research, operations, business development, client communications, digital systems, finance, administration and project management/coordination. You will work across businesses operating in different sectors, including professional services, healthcare/clinical services and commercial services.

This is not a narrowly defined administrative or sales position. We are looking for someone who can take an objective, understand the desired outcome, research what is required and move the work forward with a reasonable degree of independence. This will include overseeing the hiring, retention and management of additional personnel, freelancers, and contractors in sales, marketing, and trades.

The ideal candidate is exceptionally comfortable with technology, learns new platforms quickly, communicates professionally, and can manage multiple projects without losing themselves in the details.

HOURS & WORK ENVIRONMENT

We value work-life balance and focus on results rather than requiring employees to sit at a desk during prescribed hours. Outside of the general , you will have considerable flexibility to determine when and where you complete your work.

WCG's regular management and ownership hours are Monday to Thursday, 11:00am to 3:00pm. We do not work Fridays or weekends. You are not required to work continuously during these hours, however you must be reasonably reachable and responsive during this window to support our team and clients as needed.

Two weekly in-person team meetings at our Downtown Victoria office are mandatory. On Mondays we have a weekly planning meeting where we identify our short and mid-term priorities and map out our projects for the week ahead. On Thursdays we have a weekly recap meeting to review what did (or did not) get accomplished that week and how we address outstanding items/next steps.

Outside of these meetings and reasonable availability during our regular office hours, you are free to structure your working hours around your life and the requirements of the position. Some client or project needs may occasionally require attention outside of regular office hours.

At the end of the day, we care about communication, reliability, and getting the work done well, and on time (not when you choose to sit down and do it).

WHAT YOU’LL DO

Digital/Traditional Marketing & Communications

You will assist with developing, implementing and overseeing the ongoing implementation (including review) of digital marketing initiatives across several businesses (Mailchimp campaigns, collateral design, Google Ads, RSA headlines/descriptions, website optimization, social media content/strategy, outreach, online/social media monitoring, researching and preparing content such as resource articles and other educational materials, using AI tools such as ChatGPT, etc…).





Business Development A significant part of the role involves working with our executive team and management finding, organizing and developing new business opportunities. This involves researching prospective clients, referral sources, professional organizations and target industries to support our client’s overall growth. This will also involve building and maintaining databases to support sales/revenue-generation growth for clients, as well as researching legislation, industry best practices, competitors and market information.

Operations & Systems

You will help us improve the systems behind each client’s business rather than simply operating them. Responsibilities may include documenting and improving administrative workflows, reviewing and maintaining policies, procedures, checklists and operations guides, and supporting our client’s interactions with their own customers/client base. You do not need to be a software developer, but you should be the type of person who is comfortable figuring out how technology works.

Finance

You will provide routine administrative support for financial processes, including preparing estimates and invoices, coordinating payment of approved invoices, and maintaining accurate records relating to routine financial activities. This position does not require an accountant or bookkeeper, although experience with bookkeeping or financial administration systems is an asset.

Project Management

WCG manages numerous projects simultaneously. You will help turn those projects into completed work. You’ll use our internal systems to track deadlines, deliverables and outstanding items, breaking larger projects into manageable tasks, and conduct the research necessary to move projects forward (which includes outsourcing as needed), while taking ownership of assigned projects through completion.

ABOUT YOU

You are likely a strong fit for this position if you are exceptionally organized, driven, and comfortable managing many unrelated tasks simultaneously.

Non-Negotiables

You have strong written English and professional communication skills (but we do love to joke around, have fun, and enjoy the occasional happy hour). You are confident communicating with clients, colleagues, and allied professionals by e-mail and phone, are highly proficient with Google Workspace (Google Docs, Google Sheets, Google Drive and Google Forms), and have experience with (or can quickly learn) platforms such as Mailchimp, WordPress, Stripe, CRM systems, practice-management software and online forms. You understand the fundamentals of digital marketing, SEO, e-mail marketing and social media,



have strong analytic and online research skills and know how to evaluate the reliability and relevance of information (as in you can use AI tools productively while recognizing that AI-generated work still requires human judgment, verification and editing).

You can learn unfamiliar/current programs/systems without requiring constant supervision or instruction, and ask questions only when something genuinely requires clarification or support from your leadership. You take pride in your work and have unparalleled attention to detail. You can prioritize competing demands and recognize what is urgent versus what can wait, and you're motivated to improve processes and figure out more efficient ways to get things done.

Last (but not least), you like every day to be a bit different, learning new skills, and are motivated to grow in a company (inclusive of movement from Associate to Partner/Management status).

Education & Experience

We are more interested in demonstrated ability than a particular credential, degree, diploma or otherwise. You either have it, or you don’t.

To give you an idea of “fit” for this role, you will have some, all, or a combination of the following:

- Post-secondary education in business administration, marketing, communications, commerce or a related field; or equivalent relevant professional experience;
- Approximately 2+ years of experience in a role involving some combination of marketing coordination, business operations, project coordination, executive/administrative support, professional services or business development;
- Demonstrated experience using Google Workspace in a professional environment;
- Experience with email marketing, digital marketing, social media or website administration;
- Experience conducting online research and organizing information into usable business data; and
- Experience working independently in a small business, professional services firm, agency or entrepreneurial environment.
- Experience in regulated skilled-services environments would be an asset, but is not required.
- Experience with WordPress, Mailchimp, Stripe, Google Ads, Google Analytics/Search Console, CRM platforms, practice-management systems, Canva and AI productivity tools including Upwork.
