Position: Associate, Client Services

The Associate, Client Services is an experienced administrative and client service professional who plays an important role in delivering the highly personalized service experience our clients have come to expect.
Working closely with our advisory and client service teams, this individual manages a range of complex administrative and service matters with accuracy, discretion, and sound judgment. The role requires exceptional attention to detail, strong organizational skills, and the confidence to interact professionally with high-net-worth clients and business owners.
The ideal candidate brings a warm and approachable manner together with a polished, sophisticated presence. They are proactive, highly dependable, and comfortable taking ownership of multiple priorities in an environment where responsiveness, confidentiality, and precision are essential.
Key Responsibilities
Client Service & Relationship Support
- Serve as a trusted point of contact for clients, responding to service requests with professionalism, responsiveness, and care.
- Coordinate and manage client service matters from initial request through to completion, ensuring timely and accurate follow-through.
- Prepare and provide policy information, documentation, and correspondence to clients, business owners, assignees, accountants, and other partners as needed.
- Anticipate client needs, proactively identifying outstanding items, required follow-up, and next steps.
- Investigate and resolve inquiries independently where appropriate, escalating complex matters when required.
- Ensure every client interaction reflects the high level of service and professionalism expected.
Administration & Process Management
- Take ownership of complex administrative and client service processes, ensuring accuracy and timely completion.
- Maintain meticulous client records, policy information, ledgers, CRM data, and client summaries.
- Manage competing priorities, deadlines, and follow-up requirements with minimal oversight.
- Review documentation for completeness and accuracy, identifying discrepancies and following through to resolution.
- Coordinate information and documentation across clients, business owners, assignees, accountants, and other partners as needed.
- Prepare polished client-facing correspondence, presentations, and materials.
- Proactively identify opportunities to improve administrative processes and client service workflows.
Confidential & Professional Standards
- Work with integrity, professionalism, discretion, and a client-first mindset to achieve the best outcomes for the firm's clients.
- Exercise sound judgment when handling confidential personal, financial, and corporate information.
- Adhere to all compliance, market conduct, and privacy requirements across all business lines.
Team Engagement
- Maintain and continually deepen knowledge of life insurance products, estate planning concepts, industry practices, and internal processes.
- Support team initiatives, special projects, events, and client appreciation efforts.
- Contribute positively to the firm's collaborative culture and help uphold their values in every interaction.
Qualifications & Attributes
- 5+ years of progressive administrative and client service experience in a professional or financial services environment.
- Experience in life insurance, wealth or investment management, family office, or a related field is strongly preferred.
- Experience supporting high-net-worth clients and business owners is considered a strong asset.
- Exceptional attention to detail, accuracy,
and organization, with a demonstrated ability to manage complex information and multiple priorities.
- Highly polished written and verbal communication skills, with the confidence and professionalism to interact with sophisticated clients and senior professionals.
- A warm, friendly, and approachable manner combined with maturity and sound professional judgment.
- Demonstrated ability to take ownership, anticipate needs, and follow matters through to completion with minimal oversight.
- Strong proficiency in Microsoft Word, Excel, and PowerPoint; experience with CRM systems and Visio is an asset.
- Strong aptitude for working with numbers, financial information, and detailed documentation.
- Commitment to confidentiality and the careful stewardship of sensitive client, financial, and corporate information.
- Collaborative and solutions-oriented, with a willingness to contribute wherever needed in a close-knit professional environment.
