Athlete’s Care Sports Medicine Centres is a multidisciplinary healthcare organization providing comprehensive sports medicine and rehabilitation services across the GTA. Our teams work collaboratively to provide an exceptional patient experience while supporting physicians and allied health professionals in delivering high-quality care.
We are currently seeking an experienced and highly organized Medical Secretary to support a busy Orthopedic Surgeon and help coordinate the day-to-day administrative and clinical workflow of their practice.
The Opportunity The ideal candidate is an experienced medical administrative professional who is comfortable working in a fast-paced orthopedic environment and understands the importance of organization, communication, confidentiality, and attention to detail.
This role will involve direct support to the orthopedic surgeon, coordination of patient appointments and follow-ups, surgical and consultation-related administration, communication with patients and healthcare providers, and ensuring the physician’s schedule and workflow run efficiently.
Key ResponsibilitiesPhysician & Patient Support
- Provide day-to-day administrative support to the orthopedic surgeon.
- Coordinate and manage patient appointments, consultations, follow-ups, and procedures.
- Communicate with patients by phone, email, and through the electronic medical record (EMR).
- Answer patient questions and provide clear information regarding appointments, referrals, forms, and next steps.
- Manage physician correspondence and ensure appropriate documentation is received, processed, and filed.
- Coordinate communication with family physicians, specialists, hospitals, imaging centres,
and other healthcare providers.
Orthopedic/Surgical Administration
- Assist with the coordination of surgical bookings and pre- and post-operative appointments.
- Coordinate required documentation, referrals, imaging, reports, and other medical records.
- Follow up on outstanding investigations, consultations, and reports as required.
- Ensure surgical and consultation-related documentation is complete and organized.
- Assist with preparing patients and documentation for upcoming procedures and appointments.
EMR & Administrative Responsibilities
- Maintain accurate and up-to-date patient records within the EMR.
- Process referrals and ensure patients are appropriately scheduled.
- Monitor physician tasks, outstanding items, and follow-ups.
- Ensure medical documentation is accurately uploaded and organized.
- Assist with billing and administrative processes as required.
- Maintain strict patient confidentiality and comply with all applicable privacy legislation and organizational policies.
Patient Experience
- Provide a welcoming, professional, and compassionate experience to every patient.
- Handle patient concerns and inquiries professionally and escalate issues when appropriate.
- Ensure patients receive timely communication and follow-up.
- Work collaboratively with the broader clinic team to ensure a seamless patient journey.
What We’re Looking For The ideal candidate will have:
- 1+ years of experience in a medical secretary, medical administrative, or physician office role.
- Experience working directly with a physician, specialist, or surgical practice is strongly preferred.
- Orthopedic, surgical, sports medicine, or specialist clinic experience is considered an asset.
- Strong knowledge of medical terminology.
- Excellent organizational and time-management skills.
- Exceptional attention to detail.
- Solid written and verbal communication skills.
- Ability to manage multiple priorities in a busy clinical environment.
- Professional and confident telephone and patient communication skills.
- Strong computer and EMR skills.
- Ability to work independently while also being a strong team player.
- High level of discretion and understanding of patient confidentiality and privacy requirements.
