Job Summary

We are looking for a reliable and organized Parts Coordinator / Parts Specialist to join our auto body repair shop. The successful candidate will be responsible for sourcing, ordering, receiving, inspecting, and organizing vehicle parts to ensure repairs are completed efficiently and on schedule.

Key Responsibilities:

- Order OEM, aftermarket, and recycled vehicle parts according to repair estimates.
- Research parts availability, pricing, and delivery times.
- Communicate with suppliers, dealerships, insurance companies, estimators, and technicians.
- Verify that parts received match the vehicle, estimate, and purchase order.
- Inspect parts for damage, incorrect items, and quality issues.
- Track back ordered, missing, or incorrect parts and arrange replacements.
- Maintain accurate parts records and invoices.
- Organize and label parts in the shop to prevent loss or mix-ups.
- Coordinate parts deliveries and returns.
- Negotiate with suppliers to obtain the best prices for parts while maintaining quality standards.
- Work closely with technicians and estimators to ensure all required parts are available before and during repairs.
- Process returns and warranty claims when required.
- Maintain a clean, safe, and organized parts area.
- Follow company procedures and safety requirements.

Requirements

- Previous experience in an auto body shop, automotive parts department, or collision repair industry is an asset.
- Strong communication skills; bilingual or multilingual abilities are a plus to serve diverse customer bases

- Demonstrated ability to work well in a team environment with strong organizational skills, time-management skills and attention to detail
- Good communication and customer-service skills.

- Basic computer skills and ability to use parts ordering or estimating systems.
- Strong attention to detail.
- Valid driver's license is an asset.

As a Parts Coordinator / Parts Specialist, you will be responsible for sourcing, ordering, receiving, inspecting, and coordinating vehicle parts throughout the collision repair process. You’ll work closely with estimators, technicians, suppliers, insurance partners, and management to ensure the right parts are available at the right time, helping repairs stay on schedule and to the highest standard.

What You’ll Do

- Source and order OEM, aftermarket, and recycled automotive parts based on repair estimates.
- Verify part numbers, quantities, pricing, availability, and compatibility.
- Coordinate parts ordering with estimators and technicians.
- Receive, inspect, label, and organize incoming parts.




- Identify incorrect, damaged, missing, or backordered parts and arrange replacements.
- Track parts orders and delivery timelines to minimize repair delays.
- Communicate professionally with dealerships, suppliers, vendors, insurance representatives, and internal teams.
- Maintain accurate parts records, invoices, purchase orders, and documentation.
- Coordinate parts returns, credits, and warranty claims when required.
- Ensure all required parts are available before and during the repair process.
- Keep the parts area clean, organized, and safe.
- Support the production team in maintaining an efficient collision repair workflow.

What We’re Looking For
- Previous experience as an Auto Body Parts Coordinator, Parts Specialist, Automotive Parts Advisor, or Collision Repair Parts Coordinator is an asset.
- Knowledge of automotive and collision repair parts.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple orders and priorities in a fast-paced environment.
- Strong communication and problem-solving skills.
- Positive attitude and ability to work effectively as part of a team.
- Comfortable using computers and automotive estimating or parts-ordering systems.
- Valid driver’s license is an asset.
- A commitment to accuracy, quality, and customer satisfaction.
