Position Overview
Rapid Response Project Ltd. (RRP) is seeking an experienced and detail-oriented Bookkeeper / Accountant to support the company's day-to-day accounting and financial operations.
The successful candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable, performing bank and credit card reconciliations, assisting with payroll and contractor payments, preparing GST information, and supporting management with project and corporate financial reporting.
Experience working within an engineering, construction, oil & gas, or project-based setting would be considered a strong asset.
Key ResponsibilitiesBookkeeping & General Accounting
- Maintain accurate and up-to-date financial records.
- Record and categorize company transactions in the accounting system.
- Maintain the general ledger and ensure transactions are properly coded.
- Prepare monthly bank and credit card reconciliations.
- Record journal entries and maintain supporting documentation.
- Assist with month-end and year-end accounting activities.
- Maintain organized electronic accounting and financial records.
Accounts Payable
- Review and process vendor and subcontractor invoices.
- Verify invoices against purchase orders, contracts, and supporting documentation.
- Track outstanding vendor invoices and payment due dates.
- Prepare payments by EFT, cheque, or other approved payment methods.
- Reconcile vendor statements and investigate discrepancies.
- Maintain accurate records of vendor payments and outstanding liabilities.
Accounts Receivable
- Prepare and issue customer invoices.
- Track accounts receivable and customer payment status.
- Follow up on outstanding receivables as required.
- Apply customer payments accurately against invoices.
- Assist management with cash-flow and receivables reporting.
Project Accounting
- Track project revenues, costs, commitments,
invoices, and payments.
- Ensure expenses and vendor invoices are allocated to the correct project and cost code.
- Assist with tracking project budgets against actual expenditures.
- Maintain records of purchase orders, subcontractor commitments, change orders, and project-related invoices.
- Assist management in identifying project cost variances and outstanding financial commitments.
- Support preparation of project financial summaries and reports.
Payroll & Contractor Administration
- Assist with payroll processing and payroll-related reconciliations.
- Review employee timesheets and supporting documentation.
- Review contractor invoices against approved rates, agreements, and timesheets where applicable.
- Maintain payroll and contractor payment records.
GST & Tax Support
- Maintain accurate GST records.
- Assist with preparation of GST returns and supporting schedules.
- Reconcile GST collected and GST paid.
- Maintain organized records for CRA reporting and year-end tax preparation.
- Work with the company's external accountant as required.
Financial Reporting
- Assist in preparing monthly financial reports for management.
- Prepare accounts payable and accounts receivable aging reports.
- Assist with cash-flow reporting and forecasting.
- Provide project-specific financial information when requested.
- Assist with preparation of financial information required by clients, banks, insurers, or other authorized parties.
- Support external accountants with year-end financial statement preparation and audits or reviews, when required.
Qualifications
- Diploma or degree in Accounting, Finance, Business Administration, or a related discipline.
- Minimum 3–5 years of bookkeeping or accounting experience preferred.
- Strong understanding of accounts payable, accounts receivable, bank reconciliations, GST, and general ledger accounting.
- Experience with accounting software such as QuickBooks, Sage, or similar platforms.
- Strong Microsoft Excel skills.
- Experience with project-based accounting is preferred.
- Experience within the EPC, engineering, construction, or oil & gas industry is an asset.
- Canadian accounting and GST experience is preferred.

Preferred Experience Preference may be given to candidates with experience in:
- EPC or engineering companies.
- Oil & gas accounting.
- Construction/project accounting.
- Purchase orders and subcontractor invoicing.
- Project cost tracking and job costing.
- GST preparation and reconciliation.
- Cash-flow reporting.
- Month-end and year-end accounting.
- Working directly with external accountants and auditors.
Position Objective The primary objective of this position is to ensure that RRP's accounting records are accurate, current, organized, and supported by appropriate documentation, while providing management with timely financial information to support project and corporate decision-making. Pay: $45,000.00-$55,000.00 per year
