Warning: This is an implementation-heavy, high-velocity role. If you prefer high-level strategic planning/consulting, writing long theoretical memos or creating complex spreadsheets, this is not the seat for you. We are looking for a relentless execution engine who loves turning vision into immediate operational reality and actively finding growth limitations and unblocking them with maniacal urgency. University degree is mandatory.

Mission / Purpose of the Role To take the existing growth strategies, quarterly Rocks/goals, and operational directives directly from the Co-Founders and relentlessly drive them to 100% completion across all firm departments (Operations, Marketing, Tech, HR, and Finance). This is not an executive strategy role; this is the firm’s primary execution engine. You are the ultimate "Doer" responsible and accountable for turning visionary ideas into operational reality.

Top 3 Outcomes Required for Success (The KPIs)

Project Completion Velocity (90%+): Maintain a rolling 90% or greater on-time completion rate for all weekly deliverables and project milestones assigned during Monday/Wednesday/Friday alignment check-ins. One of your superpowers is a maniacal sense of urgency

Find and Eliminate Firm Bottlenecks: Act as the operational friction-remover. Proactively unblock projects by directly chasing down vendors, managing internal staff deadlines, and escalating tech bottlenecks before they stall out the firm's growth. Another one of your superpowers is you understand what “limitations/constraints” are in business. You know how to find them and eliminate them.

100% Process Adherence: Maintain absolute administrative discipline. Update and deliver the firm’s weekly 1-page execution plan every Sunday evening without exception, utilizing the exact formats and structures designated by ownership. Plan the next week of projects to attack to move the Firm forward.

& Responsibilities Across the 5 Departments

?️ Operations & Client Intake

- Immediately take over and execute tactical operational rollouts (e.g., executing the transition for after-hours live answering, auditing live call data and all other processes to maximize new client sign-ups).
- Standardize client-facing processes to ensure a consistent, flawless customer journey from first call to case resolution.
- Audit and map firm workflow bottlenecks, reporting progress directly to the founders twice weekly. Make recommendations, accept and execute on management decisions.

? Technology & Systems Integration

- Act as the primary internal point of contact for external tech vendors, the CTO, and software platforms.
- Ensure data flows seamlessly between core platforms (e.g., client data, CRM, and document management systems) without requiring the founders to troubleshoot integrations.
- Enforce firm-wide adherence to tech protocols and manage routine system updates.
- Source, evaluate, recommend top tech tools, including AI/Claude

? Human Resources & Onboarding

- Build out and rigorously execute standardized onboarding checklists so new hires experience a structured, professional,



and world-class introduction to the firm.
- Track staff task metrics and ensure legal support teams are actively unblocking senior lawyers.
- Keep internal firm communications (like the internal Firm newsletter) strictly on schedule with informative team building, “right vibe” information sharing.

? Marketing Execution

- Coordinate with external marketing agencies or vendors to ensure ad campaigns, landing pages, and lead-generation assets are delivered on time.
- Track core marketing metrics weekly to ensure zero dropped leads.
- Collaborate with and support internal marketing team when needed.

? Finance Coordination

- Interface directly with accounting/bookkeeping to extract specific data models, ensuring financial reports are pulled on schedule for founder review.
- Ensure vendor invoicing and project budgets are strictly monitored and categorized.

- Comfortable with Fluidity: You can seamlessly switch from tracking an IT integration at 10:00 AM to refining a legal onboarding checklist at 11:30 AM without losing momentum.
- Zero Ego Around Direction: You excel at taking a finalized executive decision and driving it immediate completion, even if you personally would have preferred an alternative during the planning phase or disagree with the executive decision.
- Hyper-Organized & Scannable: You think and communicate in bullet points, clear metrics, and clean timelines. You naturally hate long, winding memos or complex spreadsheets. You understand that clarity and simplicity are keys to success. You understand that complexity and a lack of clarity in counterproductive.
- Regular Lifelong Learner Mindset: You enjoy studying world class entrepreneurs and use those lessons learned to succeed in this role e.g. maniacal sense of urgency, driven to execute and complete high value, high impact projects. Willing to study, learn and apply business strategy and principles. Willingness to travel with co-founders to mastermind meetings, business conferences to find cutting edge business growth activities for execution.

Experience Requirements

- 3–5+ years of dedicated Project Management or Business Operations experience in a fast-paced, high-volume environment (Ideally Law Firm or other professional services)
- Proven track record of managing cross-functional projects involving tech implementations, vendor management, and process mapping.




- Deep familiarity with project frameworks (PMP, Scrum, or Agile methodologies are assets, but the ability to execute matters more than the badge).

Experiences

- 3-5 years in operations, legal ops, professional services, or systems implementation
- Experience leading multi-phase transformation (systems + people + process)
- Proven ability to identify, eliminate operational bottlenecks and scale service delivery
- Experience working with business operating systems such as Scaling Up/EOS is an asset
- Experience implementing case management or workflow platforms is an asset
