Theragraph is an Edmonton-based digital health company building real-world evidence infrastructure for inflammatory bowel disease. We operate a secure, de-identified patient–clinician network and a proprietary extraction platform, TherExtract, that converts unstructured clinical records into research-grade longitudinal data. Our clients are pharmaceutical organisations that require structured clinical-journey data and custom real-world evidence reporting that conventional trial data cannot provide.
The company was founded and is led by a practising gastroenterologist. That clinical grounding is our commercial advantage and it shapes how we work: we are unusually close to the realities of care delivery, and unusually demanding about data quality.
About the role
We’re looking for a mature, highly organized Business Operations Coordinator to become the operational backbone of our day-to-day — the trusted person who keeps our operational, administrative and financial engines running smoothly.
What this job really is: This is a hands-on role with a heavy, daily administrative load at its core. Much of your week will be detailed administrative work — managing inboxes and calls, coordinating documents and signatures, preparing files for our bookkeeper, running on/offboarding paperwork, and keeping our records organized. We are working on leveraging more AI and agentic infrastructure to support this, your experience, experimentation, interest and capacity to learn to leverage these tools is key.
If you’re looking for a strategic or supervisory role, this is not it. If you take genuine pride in doing high-volume, detail-heavy administrative work exceptionally well, in gradually owning more of how the business runs, you will thrive here.
You’ll take significant weight off our leadership team, own our records and processes, and be the reliable “front door” of the company.
This is an 80% remote work role with occasional, but consistent expectation of some in-person tasks and time.
What you’ll do:
This role blends hands-on, substantial administration with growing operational ownership. The administrative responsibilities below are the daily core of the job. We are actively looking to leverage more AI and agentic infrastructure in each of these areas. Your proactive learning and implementation of these types of tools (AI, agentic) will be key.
Administration and front door:
· Monitor and manage the admin@ inbox daily — respond, triage, and route promptly
· Own our main phone line: answer, return calls, take and route messages
· Manage scheduling, calendars, and meeting logistics across the team
· Handle general correspondence, follow-ups, and day-to-day administrative requests
· Manage all DocuSign sending, tracking, and completion
· Store, organize, and retrieve company documentation — keeping everything current and findable
· Research, implement and leverage AI tools as needed/beneficial
Financial coordination
· Track incoming and outgoing cash; keep our AR/AP picture current
· Prepare and organize documentation for our bookkeeper and get it to them on time
· Follow up on invoices and coordinate vendor payments
· Liaise with our bookkeeper, accountants, and fractional CFO
· Leverage Claude Cowork and other AI/agentic tools to systematize cash tracking and automate routine bookkeeping prep and follow-ups
On- and offboarding
· Own the administrative on/offboarding sequence for team-members end to end
· Keep onboarding documents current; collect and distribute required information for each team member
· Support on/off-boarding of users as relevant
Records & information management
· Be the primary owner of our company-wide record-keeping system (currently Google Drive) — its structure, organization, and day-to-day upkeep
· Manage access and permissions where/as appropriate across the system, keeping sensitive materials appropriately controlled
· Continuously improve how our records are laid out, organized, and accessed — driving efficiency in how the whole team finds and files information
· Maintain filing, version control, and consistency so the current version is always the one in use
· Maintain an up-to-date investor data room (organizing and version control) - Use AI tools to build smarter systems for organizing, tagging, and retrieving documentation
Research study administration
· Manage the administrative side of our real-world evidence studies (compiling and formatting resource packages for clinics, monitoring administrative communications, and tracking documentation and payments per clinic and physician)
· Route materials to our leadership and physician leads for review before distribution
· Leverage AI to support as possible
Leadership & executive support
· Handle various executive-assistant-style tasks for leadership team whenever needed, especially our CEO and CMO who are both practicing physicians
· Work with the outgoing COO to learn current systems and processes and streamline/improve wherever possible here forward
· Proactively look for ways to make others’ jobs easier and lift load wherever it helps the company move faster. Leverage AI tools wherever possible.
Projects & support
· Lead other/various administrative and operational projects independently as they arise; assess and prioritize amongst these as needed
· Manage vendors, software subscriptions, and supplies
· Support meeting prep, notes, and action-item tracking
· Assist with LinkedIn content and posting (company page and leadership profiles) if/as directed
· Proactively improve our systems and processes when not in reactive work — including building and refining AI-assisted and agentic workflows that let a small team do more

- Demonstrated experience in administrative, coordination, and/or business-operations roles, with several references that can speak to this (5+ years preferred).
- Edmonton-based, able to work remotely with occasional in-person time and tasks
- Comfortable with common software tools – for ex: excel and Google Sheets, Gmail, Google Docs DocuSign, Quickbooks
- Experience in healthcare/regulated setting and/or supporting research studies is an asset

The base salary reflects this stage, however the role offers real ownership (including equity), unusual scope and autonomy, a path to grow, and the chance to be foundational to something meaningful. Compensation & benefits
- Base salary: $50,000–$65,000 annually, dependent on experience and qualifications
- Equity: a modest but meaningful ownership stake, because we want early team members to share in what they help build
