We are looking for a Client Service Associate to assist our Portfolio Managers and our Clients with investments and other financial endeavors. Your responsibilities will include client relations and handling queries.
To be successful as a Client Service Associate, you should have great product and investment knowledge and an understanding of complex financial information. Ultimately, a top-notch Client Service Associate should cultivate client relationships and have excellent attention to detail.

Wealth Management Associate Responsibilities
Administration
- Answering incoming phone calls, messages, and routing correspondence.
- Performing day-to-day administrative tasks, such as responding to client emails and requests.
- Distribution of incoming and outgoing mail/courier packages.
- Take dictation and minutes and accurately enter data.
- Monitor office supplies and coordinate maintenance of office equipment.
- Filing and maintenance of client and employee records (physical files and on company drive).
- Accurate and detailed computer data entry.
- Support Chief Compliance Officer through updating internal Know Your Client packages and annual tracking and reporting of client communication.
- Maintain and update client information on investor CRM database.
- Assistance in internal Audits (OSC related).
- Annual Christmas Card ordering and distribution.
Client Services
- Acting as a point of contact between Senior Executives and Clients.
- Provide support to Senior Portfolio Officers with responsibility for management of assigned client relationships.
- Create and compile reports for executives, clients, and portfolio managers.
- Distribution of client correspondence and confidential reports through mail and email.
- Monthly distribution of client statements.
- Quarterly and year-end client reporting and tax documents/slips.
- Onboarding Clients / Closing accounts.
Client Relations Management
- Managing relationships with clients on behalf of the portfolio manager and proactively helps to resolve issues and concerns of clients with input from senior team members.
- Identify practice management opportunities through various firm channels.
- Participate in internal research projects and special client assignments as needed.
- Independently improve and streamline the service model and operational procedures for the team.
- Assist in business development efforts and from time to time participate in RFP responses.
- Analyze financial statements and compiling reports for the portfolio managers and clients.
- Complete and submit investment-related documents such as account, funds, and securities transfer requests.
- Coordinate and monitor withdrawals and deposits of client funds through EFT or wire.
- Execute client account update requests (contact information, beneficiary updates, power of attorney, etc.).
- Update records for changes to client information and inform PMs of updates.
- Internal client document preparation, tracking, and filing (KYC, IMA, and IPS).
Client Service Associate Requirements
- College degree and a minimum of 5 years of relevant work experience in the financial services industry.
- Analytical thinking skills.
- Ability to grasp and interpret complex financial and investment-related information.
- Knowledge of financial investment, tax, and financial planning.
- Self-motivated and confident with strong work ethics.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint).
- Has a good understanding with creating and editing forms using Adobe PDF Editor.
- Experience working with CRM Data Management Systems and online custodian applications.
- Familiarity with DocuSign and asset.
- Excellent written and verbal communication skills with careful attention to detail.
- Able to work independently, as well as in a group setting.
- Self-motivated with a strong work ethic – able to work Monday to Friday and 3 days from our Toronto office (Tuesday, Wednesday, Thursday).
