Position: Conference Sales & Service Coordinator

Location: Routes Eatery at Capilano University, Squamish

Start Date: Fall 2026

Pay: $25-$35 per hour including tips In this Role:

You will supervise the sales, planning, coordination and execution of conferences, meetings, catered events and campus functions at Routes Eatery at Capilano University Squamish.

You will be the key point of contact for clients from initial inquiry through event completion, helping create memorable experiences while ensuring each event is organized, accurately communicated and delivered to the highest standards of hospitality and service.

You will work closely with the culinary, service and operations teams to coordinate event details, manage timelines and ensure that client expectations are met — while helping identify opportunities to grow conference and catering business.

Specific Tasks Include:

- Respond promptly and professionally to conference, meeting, catering and event inquiries.
- Coordinate the sales process from initial inquiry through confirmation, event execution and post-event follow-up.
- Build strong relationships with clients, campus partners, event organizers and community groups.
- Gather and accurately record event details including dates,



times, guest numbers, menus, dietary requirements, room setups, AV requirements and special requests.
- Prepare proposals, event estimates, contracts, menus, function sheets and other client-facing materials as required.
- Conduct site tours and assist clients in selecting appropriate spaces, menus and service options.
- Coordinate event timelines and communicate all relevant details clearly to culinary, service and operations teams.
- Create and distribute accurate event function sheets and run-of-show information.
- Monitor event bookings, deposits, payments, changes and final guest counts.
- Work with clients to develop menus and service plans that meet their needs and budget.
- Ensure dietary restrictions and allergies are clearly communicated and appropriately managed.
- Assist with event setup, service and breakdown when required.
- Act as an on-site point of contact during events, ensuring smooth execution and resolving issues quickly and professionally.
- Maintain accurate records of leads, bookings, client communications and event details.
- Follow up with clients after events to gather feedback and identify future business opportunities.
- Support sales initiatives, promotions and outreach to increase conference and catering revenue.
- Work collaboratively with the Routes Eatery and Whistler Cooks teams to identify opportunities for repeat business and new clients.
- Uphold all health, safety, food safety and sanitation standards.
- Maintain a professional, welcoming and service-focused presence at all times.
- Assist other team members and departments whenever needed.
- Perform opening, closing and administrative duties as required.
- Maintain a clean, organized and professional event and office environment.
- Represent Whistler Cooks and Routes Eatery with enthusiasm, professionalism and genuine hospitality.





You will need to:

- Have previous experience in conference services, catering sales, event coordination, hospitality, restaurants or a related field.
- Have strong customer service and relationship-building skills.
- Be highly organized with excellent attention to detail and the ability to manage multiple events and priorities simultaneously.
- Have strong written and verbal communication skills.
- Be comfortable preparing proposals, estimates, event documents and client correspondence.
- Have strong computer skills and be comfortable learning event management, POS and other operational systems.
- Be confident communicating with clients, vendors, campus partners and internal teams.
- Have a strong understanding of hospitality and a genuine passion for creating excellent guest experiences.
- Be comfortable working in a fast-paced environment where priorities can change quickly.
- Be able to work independently while also collaborating effectively with culinary, service and management teams.
- Have strong problem-solving skills and the ability to remain calm and professional under pressure.
- Be available to work flexible schedule, including occasional evenings, weekends and holidays based on event requirements.
- Have the ability to be on your feet and actively involved in event setup and execution for extended periods.
- Have a valid Serving It Right certification, or be willing to obtain one if required.
- Hold a valid work permit or be a Canadian Citizen.
