Salary: $53,000–$60,000 per year for a 0.8 FTE position, based on experience
Location: Hybrid, with a minimum of 2 days per week on-site at the CRIUGM in Montréal
Contract term: 1-year contract, renewable (funding available for a 3-year period)
About C-OPN The Canadian Open Parkinson Network (C-OPN) is a pan-Canadian research platform that brings together clinicians, researchers, people with lived experience, and research sites across Canada to accelerate Parkinson’s disease research through shared data, biospecimens, and collaborative infrastructure.
Position Summary The Canadian Open Parkinson Network (C-OPN) is seeking a Coordinator, Network Operations & Governance to provide centralized coordination and administrative support for the Network’s national activities, governance structures, working groups, sites, and funded initiatives. Reporting directly to the C-OPN Director, Dr. Oury Monchi, this individual will play a key role in supporting the effective operation of the Network and the coordination of its various activities.
The Coordinator will help ensure that meetings, decisions, action items, milestones, and site updates are consistently documented, tracked, and followed through. The role will strengthen operational coordination across C-OPN and support senior leadership and subject-matter leads in maintaining oversight of multiple concurrent activities.
The Coordinator will work closely with site coordinators, working group members, clinical and data teams, researchers, and senior leadership. The successful candidate will be highly organized, proactive, detail-oriented, and comfortable working across multiple workstreams in a complex, multi-site research environment. This is primarily a coordination, tracking, and documentation role.
Scientific oversight, clinical and regulatory decision-making, partnership development, and overall program accountability remain with the appropriate C-OPN leads and senior management.
Key Responsibilities
- Governance and Meeting Coordination
- Coordinate scheduling, agendas, meeting materials, and follow-up for C-OPN operational and governance meetings.
- Support meetings of the Executive Committee, site coordinators, working groups, and program-specific committees.
- Prepare and circulate agendas and supporting materials in advance of meetings.
- Draft concise meeting minutes, decision summaries, and action items.
- Coordinate follow-up on agreed actions and flag outstanding or high-priority items to the appropriate lead.
- Maintain committee and working group membership lists, meeting schedules, and relevant terms of reference.
- Action, Milestone, and Deliverable Tracking
- Maintain centralized trackers for key operational actions, milestones, and deliverables across C-OPN activities.
- Maintain a decision log documenting significant operational and governance decisions.
- Track progress against agreed timelines and funded milestones based on updates provided by responsible leads.
- Prepare regular summaries of completed, upcoming, overdue, and at-risk items for the National Manager.
- Flag delays, inconsistencies, or emerging operational risks requiring management attention.
- Support the collection and organization of documentation related to completed milestones and program activities.
- Working Group and Site Coordination
- Provide coordination support to C-OPN working groups and committees across strategic, operational, clinical, community, and research priorities.
- Maintain working group workplans, membership information, meeting schedules, and supporting documentation.
- Track agreed actions and deliverables and follow up with members on outstanding items and timelines.
- Support communication with C-OPN site coordinators regarding timelines, meeting follow-up, documentation requests, and operational updates.
- Maintain agreed site-level tracking tools and indicators, including areas such as recruitment progress, follow-up implementation, REB status, training completion, and other operational updates.
- Compile working group and site updates into concise summaries for the National Manager and relevant leads.
- Support the standardization and maintenance of site-facing templates, checklists, reporting forms, and operational documentation.
- Escalate delayed, high-priority, or at-risk items to the National Manager or appropriate lead.
- Reporting and Documentation
- Support the preparation of internal reports, Executive Committee updates, funder progress reports, and operational summaries.
- Compile information from site coordinators, working groups, data and clinical teams, knowledge translation activities, and other program leads.
- Draft first versions of operational updates and milestone summaries for review by the National Manager.
- Support quarterly,
annual, and other scheduled reporting cycles.
- Maintain organized records of completed deliverables, supporting documentation, and pending items.
- Maintain a structured repository of key operational documents, including reports, SOPs, templates, meeting records, and supporting materials.
Qualifications
Required
- Bachelor’s degree in health sciences, life sciences, public health, administration, project management, or a related field.
- Minimum 2–3 years of relevant experience in research coordination, program coordination, project administration, clinical research operations, or a related environment.
- Excellent organizational and follow-up skills.
- Strong written and oral communication skills.
- Experience preparing agendas, minutes, reports, trackers, or project documentation.
- Ability to manage multiple deadlines and stakeholders simultaneously.
- Strong attention to detail.
- Proficiency with Microsoft Office, Google Workspace, Teams/Zoom, and shared document systems.
- Ability to work independently and proactively in a remote or hybrid team environment.
- Strong working proficiency in both English and French.
Strong Assets
- Experience in clinical research, neurosciences, Parkinson’s disease, biobanking, or longitudinal cohort studies.
- Familiarity with REDCap or research databases.
- Experience supporting committees, governance bodies, or working groups.
- Experience working in an academic health research environment.
- Understanding of funder reporting or grant-funded project delivery.
