Status: Fulltime Location: Pool Position (will be scheduled at multiple Mayfair Clinics) Hours: 7.5 hour shift, 30 minutes unpaid. Shifts starting as early as 7.30am and ending as late as 4.30pm The Diagnostic Imaging Assistant and Pain Therapy Tech Assistant will support the overall mission, vision, and values of Mayfair.

This position provides a supportive role to technologists, radiologists, and patients alike, ensuring exemplary customer service to the patient throughout their experience with Mayfair. This position includes shifts that rotate between the DIA position and the Pain Therapy Tech Assistant position at various Mayfair Clinics, Pain TA/CA skills are required or willingness to be trained. What you will achieve in this role:
- Greets patients in reception area in a warm, respectful manner and attends to every detail of patient comfort.
- Ensures incoming patients are admitted for examinations in a timely fashion.
- Confirms all patient information is correct and accurate.
- Receives all requisitions and ensures that the information provided is complete and correct.
- Advises technologist in appropriate area of any patient concerns upon check in.
- Receives monies from patients paying for exams.
- Answers all telephone calls promptly, screens calls, answers inquiries, relays messages, and refers callers to appropriate person or area.
- Telephone calls should be answered with the following script: “Good morning/good afternoon, Mayfair Diagnostics (insert clinic location), (name) speaking, “how may I help you”.
- Books patients for examinations requested either by phone or in person.
- Maintains patient confidentiality in regards to their illnesses, treatment, and diagnosis.
- Chaperones exams for male technologists during Endo-Vaginal and Breast examinations.
- Escorts and changes patients to their appointment(s) within the clinic.
- Navigates patients between clinic modalities for examinations.
- Prints day schedule at the end of each day for the next day’s appointments per modality and distributes to the appropriate areas.
- Performs trial banking and prepares deposit of monies received in the clinic.
- Conducts patient appointment confirmation calls for respective clinic.
- Conducts Visage checks throughout the day:
- Critical results list,
- Billing list,
- Delivery record.
- Burns examination images on CD for send out requests.
- Picks up, sorts,
and distributes incoming mail/fax messages/in-house delivery or courier pickups.
- Sorts and distributes imaging reports for mail in-house delivery or courier pick up.
- Retrieves reports and faxes to physicians as required.
- Mails out reports requiring attachments.
- Assists in orientating and/or training recent employees.
- Cleans ultrasound exam rooms between patients.
- Sanitizes and dusts ultrasound exam rooms weekly.
- Vacuums ultrasound machine filters monthly.
- Cleans and fills ultrasound gel bottles.
- Cleans EV probes, Trophon units, and keeps Trophon room tidy.
- Cleans ABUS machine between patients.
- Retrieves previous mammogram images.
- Collects all Call Back slips from the radiologist office throughout the day.
- Empties the radiologist’s office recycling bin.
- Maintains clinic supply stock, accepts/notifies modalities of deliveries, and unloads supplies.
- Orders supplies from Stat Health Care and Grand and Toy.
- Keeps all rooms stocked with necessary supplies and gowns.
- Puts clean laundry away, checks laundry baskets for dirty laundry and empties as needed.
- Checks washrooms for paper cups, soap, toilet paper, paper towel, and re-stocks as needed.
- Keeps waiting room tidy.
- Keeps all areas clean of garbage.
- Complies with all company rules, regulations, policies and procedures in accordance with the Policy and Procedure Manual, Occupational Health and Safety Manual, and the Employee Handbook.
- Performs other related duties as required.
Additional Pain Therapy TA Duties:
- Check in, escort and change patients according to their appointment(s) within the clinic
- Ensure all patient information is current and accurate
- Assist the Pain Therapy Technologist and/or Radiologist with sterile tray preparations while moving between exam rooms
- Perform a variety of assistant duties such as exam table cleaning and preparing for next patient, laundry, and stocking rooms
- Retrieve forms, images and supplies for technologists
- Explain procedures, post-care instructions and patient forms
- Maintain patient files and forms for treatment
- Act as liaison between technologists, receptionists and other staff
- Order and restock supplies and linens, maintain clean environment
- Retrieve requisitions, send reports and fulfill image requests
- Chaperone exams
- Follow up with critical results, report delivery, and billing
- Perform trial banking and prepare deposit of monies received in the clinic
- Book appointments and take inquiry calls
- Clean probes, machinery, gel bottles
What you will bring to this role:
- Successful completion of Receptionist, Clinic Assistant and/or DI Assistant training program required.
- Experience delivering exceptional customer service in a face-to-face environment within Mayfair clinics
- Certification as a Health Information Office Assistant, Unit Clerk, or Medical Office Assistant required.
- Knowledge of medical terminology and anatomy required.
- Strong ability to multi-task with a knack for self-managing and prioritizing based on clinic needs
- Ability to multitask, organize, and prioritize with changing workloads and schedule variances.
- Computer/keyboarding skills required, typing skills 45 wpm or better required.
- Good interpersonal and effective communication skills (verbal, written, and oral).
- Strong attention to detail.
- Ability to demonstrate excellent customer service to all patients.
- Focuses towards working in a team environment with an upbeat attitude, with the willingness to learn and work professionally to support both internal and external stakeholders.
- Working Setting
- Requires use of the phone, computer, and sitting for extended periods of time
- Normal movements of twisting, bending, reaching, and using hands and arms in completing paperwork and administrative tasks
- May be required to lift items up to 3 kilograms
- Must be prepared to work flexible hours as required to complete duties during non-business hours
- Travel to other clinics within Calgary may be required
