Aroga Lifestyle Medicine is a multidisciplinary medical clinic focused on providing comprehensive, patient-centred care. Our Victoria clinic offers a range of medical and diagnostic services, and we are looking for a reliable, organized team member to support our diagnostic testing services and day-to-day clinic operations.
Position Overview The Diagnostic Testing & Clinic Support Coordinator will support patients throughout the diagnostic testing process. This position involves scheduling patients, completing standardized diagnostic testing and health measurements according to established clinic protocols, preparing patients for testing, processing diagnostic data, documenting results, and preparing information for physician review.
The successful candidate will be responsible for completing testing and collecting accurate measurements. Training will be provided for clinic-specific testing procedures and equipment.
All diagnostic results are reviewed and clinically interpreted by a licensed physician. This position does not involve interpreting diagnostic results, making diagnoses, or providing medical advice.
This is a part-time, in-person position suited to someone who is organized, patient-focused, detail-oriented, and comfortable working directly with patients in a busy medical clinic environment.
Key ResponsibilitiesDiagnostic Testing & Health Measurements
- Complete 12-lead ECG testing according to established clinic protocols and training.
- Prepare patients for ECG testing and explain the testing process in a clear and reassuring manner.
- Apply, set up, and remove holter monitors according to established clinic protocols and training.
- Provide patients with instructions regarding holter monitor use, care, and return.
- Download recorded holter monitor data using designated equipment and software.
- Upload and process holter monitor data according to established clinic procedures.
- Prepare and organize holter reports and supporting documentation for physician review and interpretation.
- Ensure completed diagnostic information is appropriately routed to the physician for interpretation.
- Coordinate 24-hour ambulatory blood pressure monitoring (ABPM) appointments, including scheduling patients for monitor application and return.
- Apply and set up 24-hour ABPM equipment according to established clinic protocols and training.
- Provide patients with instructions regarding the use and care of the ABPM device during the monitoring period.
- Receive returned ABPM equipment and download the recorded monitoring data using designated equipment and software.
- Upload ABPM data and related documentation to the patient's chart for licensed physician review and interpretation.
- Obtain and document routine vital signs and health measurements, including:
- Height
- Weight
- Blood pressure
- Heart rate
- Other measurements as required by clinic protocols
- Complete body composition analysis using clinic-approved equipment.
- Explain testing procedures and provide general information about the measurements being collected.
- Accurately document testing information and measurements in the EMR.
- Prepare testing equipment and ensure testing areas are clean, organized, and ready for patients.
- Follow established clinic protocols related to patient safety, privacy, infection prevention, and equipment use.Patient Scheduling & Communication
- Contact patients by telephone and other approved communication methods to schedule diagnostic testing appointments.
- Coordinate ECG, holter, ABPM, treadmills, and other diagnostic appointments based on physician orders and clinic availability.
- Confirm appointment details and provide patients with appropriate preparation and testing instructions.
- Answer general patient questions about the testing process and appointment requirements.
- Escalate clinical questions, concerns, or issues to the appropriate physician or clinical team member according to clinic protocols.
- Follow up with patients when additional information or scheduling is required.
- Maintain accurate patient and appointment information in the EMR.
Clinic & Administrative Support
- Support the medical and administrative teams with day-to-day clinic operations.
- Assist with patient check-in and clinic flow as required.
- Process diagnostic testing-related tasks and communications.
- Ensure requisitions, orders, referrals, and related documentation are appropriately processed.
- Prepare documentation and diagnostic information for physician review.
- Maintain accurate and timely EMR documentation.
- Communicate effectively with physicians and other members of the multidisciplinary team.
- Assist with other clinic duties as required to support an efficient and positive patient experience.
Scope of Role The employee is responsible for scheduling, preparing patients, completing standardized diagnostic testing, applying monitoring equipment, collecting measurements, downloading and uploading diagnostic data, and preparing documentation according to established clinic protocols and training. The employee does not independently interpret ECGs, holter results, ABPM data, body composition results,
or other diagnostic findings. All clinical interpretation, diagnosis, and medical decision-making are completed by a licensed physician.
Any patient questions or concerns that require clinical assessment or interpretation are to be referred to the appropriate physician or clinical team member.
Qualifications & Skills
- Previous experience working in a medical clinic, healthcare setting, or diagnostic testing environment is an asset.
- Previous experience with ECGs, holter monitoring, ABPM, vital signs, or body composition testing is an asset but not required.
- Training will be provided for Aroga-specific testing procedures and equipment.
- Strong patient service and communication skills.
- Comfortable working directly with patients and explaining standardized testing procedures.
- Excellent organization and attention to detail.
- Ability to accurately follow established protocols and instructions.
- Comfortable learning and using electronic medical records and computer systems.
- Ability to manage multiple priorities in a busy clinical environment.
- Professional, compassionate, and approachable manner.
- Ability to work independently while contributing positively to a multidisciplinary team.

What We Offer
- $22-$25 per hour

- Regular schedule of Monday to Thursday, 9:00 AM – 4:00 PM with a 30 minute unpaid lunch

Pay: $22.00-$25.00 per hour
