Position Overview
Transco North Ltd. is looking to hire a Dispatch Coordinator (truck transportation) who will act as the central link between company drivers, third parties, internal and external companies. Working directly for the Manager of Transco North and indirectly with the Dispatch Manager, the Dispatch Coordinator will achieve the ultimate goal of utilizing our systems to schedule loads, optimize routing, and ensure safe, on-time deliveries of LPG products and Dry Bulk Goods.
This is a fast-paced role that balances administrative coordination with real-time-problem-solving.
Roles and Responsibilities
Route Planning and Load Coordination
- Route Planning: Develop and/or work with operations to understand route management plans in advance of dispatching drivers
- Schedule Loads: Creating a weekly through to daily load plan and coordinating individual shipments in contemplation of future needs
- Route Optimization: Using dispatch software to plan the most cost-effective and safe paths in consideration of route management plans
- Fleet utilization: Assigning loads to drivers based on vehicle availability, hours availability, and geographic location
Communication & Real-Time Support
- Driver Support: Develop cooperative relationships with drivers and third parties - serving as the main contact for drivers and third parties to relay traffic conditions, troubleshooting delays, equipment issues, weather updates, etc.
- Route Tracking: Track loads in real time and make necessary adjustments, track demurrage and contact customers if applicable
- Real-time Communication: Solving sudden on-the-road issues like mechanical breakdowns, route changes, etc. – notify all parties of urgent communications such as diversions, etc.
- Maintenance Communication:
Work with maintenance to schedule equipment for preventative maintenance service/repairs
- Client Relationships: Develop and maintain a rapport and open communication with internal and external customers - providing shipping updates, tracking data, and handling customer requirements
- Inventory Insight: Understand inventories and planning needs and work with marketing/operations to proactively keep inventory whole
Compliance, Systems & Documentation
- Trucking Management Software: Operate TMW system to create orders, load numbers, and assign/communicate correct equipment to ensure systems communicate accurately
- Regulatory Tracking: Monitoring driver hours of service (HOS) to comply with transport regulations
- Paperwork Management: Generating and organizing invoices, bills of lading, and freight tracking logs.
- Follow and enforce safety before making any decision – abiding by Company policy and procedures.
Preferred Skills, Qualifications & Education Requirements
- 2-3 years of previous scheduling / logistics / dispatch experience with Hazardous Goods strongly preferred
- Able to travel to the United States for initial and periodic training
- Must be available M-F, 8-5 with after hours communication sometimes required
- Previous experience with Trimble Transportation (TMW Truckload), Samsara, and/or similar software applications is an asset
- Positive working knowledge of Microsoft office applications
- Familiarity with customs clearance portal and paper work (U.S. Governments ACE) considered an asset
- Strong decision-making skills with the ability to assess situations quickly
- Ability to handle multiple calls and dispatch requests simultaneously
- Effective communication and organizational skills
