Hours: Approximately 60–100 hours per month

Pay: Hourly, $35 per hour based on experience

Location: Flexible work from home outside event days, with in-person events in Toronto and the GTA

Reports to: TPMA CEO

Works closely with: Rosemary King, Monthly Events Chair; Rhythem Raswant, Workshops and Education Chair; and May Wong, ProductTO Chair

About TPMA The Toronto Product Management Association is Canada’s longest-running product community. For more than 20 years, we have helped product managers and leaders across the GTA meet, learn, and grow.

TPMA is a registered not-for-profit and a volunteer-run organization. We are adding part-time contract support so we can run strong events, grow our programs, and make the workload more sustainable for our volunteers.

The Role

TPMA is looking for an organized and dependable Event Coordinator to help plan and run professional events for the product community.

You will manage event details from early planning through event-day delivery and post-event wrap-up. You will work with TPMA’s volunteer event chairs, speakers, venues, vendors, sponsors, and event-day volunteers.

Most planning work can be done remotely and on a flexible schedule. You must be available to run approximately three to four in-person or online events each month. These events often take place on weekday evenings, with some held on Saturday afternoons.

This role is well suited to someone who takes ownership, works well on their own, and knows how to keep many moving parts on track.

What You Will Do

- Build and manage event plans, timelines, checklists, and run-of-show documents.
- Coordinate speakers, including collecting bios, headshots, session details, slides, and technical needs.
- Book and work with venues, including room set-up, accessibility, A/V, signage, and event-day access.
- Set up and update event pages,



registration, ticketing, and attendee details on TPMA.ca and Wild Apricot (our events portal).
- Source and coordinate food and drinks, including dietary needs, delivery, and set-up.
- Coordinate vendors, supplies, signs, name badges, and other event materials.
- Run event-day set-up, registration, check-in, speaker support, volunteer assignments, and tear-down.
- Set up and support online or hybrid events, including Zoom, recordings, speaker run-throughs, and basic technical troubleshooting.
- Help manage volunteers and contractors that are capturing event content, such as video, photos, online recordings, and speaker materials.
- Work with volunteer coordinator to recruit, schedule, brief, and support event-day volunteers.
- Build and track event budgets, seek approval for spending, collect invoices and receipts, and work with TPMA’s Treasurer.
- Track registrations and attendance and help prepare a short post-event report.
- Gather attendee, speaker, sponsor, and volunteer feedback.
- Flag risks, delays, and budget concerns early.
- Help improve TPMA’s event templates, checklists, and ways of working.

What We Are Looking For

- At least two to three years of experience in event coordination, community programming, or related work.
- Experience planning and running in-person events.
- Strong organization and close attention to detail.
- Clear and professional written and spoken communication.
- Comfort managing an event budget and keeping accurate records.
- Ability to work independently, make sound day-to-day decisions, and follow through.




- Ability to manage several events and deadlines at once.
- Confidence working with speakers, venues, vendors, volunteers, and attendees.
- Comfort using tools such as Zoom, Google Workspace, Slack, and event registration platforms.
- Availability for occasional weekday evening and Saturday afternoon events.
- Ability to travel to event venues in Toronto and the GTA.

Helpful but Not Required
- Experience with conferences, workshops, or hackathons.
- Experience with hybrid events, livestreaming, video, photography, or online recording.
- Experience working with sponsors or community partners.
- Experience working with a volunteer-run or not-for-profit organization.
- Interest in product management, technology, or professional communities.

Working Style

TPMA is primarily run by volunteers with a small professional core team. This is a highly independent role. The right person will be flexible while bringing structure, clear communication, and steady follow-through.

You will have room to manage your work independently, but you will also need to keep the CEO and event chairs informed of progress, risks, spending, and decisions.
