Position Summary
Beacon Children’s Centre is looking for an energetic, relationship-driven Family Care Enrollment Coordinator to own the full journey from lead to enrolled client. This is a handson, out-in-the-community role — you’ll be on the phone with parents, in person at walk-in clinics and community events, and building referral relationships that bring families to Beacon.
We’re not looking for a “hard sell” personality — we’re looking for someone who genuinely believes in the value of early intervention and can help parents understand, in an honest and caring way, why therapy matters for their child. The right person listens first, educates, and helps parents feel confident in their decision — not pressured into it.
This role is critical to our growth: you’ll be the person turning interest into enrolled clients.
What You’ll Do
- Respond quickly to inbound leads (Meta ads, website, phone) and guide parents through next steps
- Conduct consultation calls with parents, explain services and pricing, and address concerns or objections
- Follow up consistently with warm leads who haven’t yet converted
- Visit walk-in clinics, pediatricians, schools, and community partners to build referral relationships
- Represent Beacon at community events, open houses, and info sessions
- Track every lead and interaction in our CRM/intake system (Zoho, Jane App)
- Work closely with the clinical team to align expectations before intake
- Identify and troubleshoot bottlenecks in the lead-to-enrollment funnel
- Report on lead volume, conversion rates, and referral source performance
Key Responsibilities
- Own end-to-end conversion: first contact through signed service agreement
- Build and maintain a referral partner network (walk-in clinics, physicians, daycares, schools)
- Plan and represent Beacon at outreach events and open houses
- Qualify leads (e.g., OAP funding status) to prioritize follow-up effectively
- Maintain accurate, up-to-date CRM records and pipeline reporting
- Collaborate with marketing on messaging that improves lead quality and close rate
Requirements
- Proven experience in sales, business development, or enrollment/admissions (healthcare, education, or wellness services a strong asset)
- Prior experience in ABA, OT, SLP, autism services, or a related pediatric/allied health field strongly preferred — you understand how families evaluate therapy decisions and can speak credibly to them
- Genuine passion for helping parents understand the value of therapy for their child — not just closing a sale
- Comfortable making outbound calls and having pricing/financial conversations with parents
- Confident presenting and networking in person — comfortable walking into clinics and events cold
- Strong follow-up discipline; nothing falls through the cracks
- Empathetic communication style suited to parents of children with developmental needs
- Familiarity with CRM/intake tools (Zoho, Jane App, or similar) an asset
- Own vehicle and valid driver’s license (travel to clinics/events required)
- Knowledge of OAP funding an asset
Availability Requirements
- Weekday availability required; some evenings and weekends for events/open houses as needed
- Flexibility to travel locally (Mississauga, Brampton, Oakville, Milton) for clinic visits and events
