Financial Administrator
Hours: Full-time, 35-37.5 hours per week, Monday to Friday/ Scheduled hours will fall between the hours of 7:30 a.m.– 5:30 p.m.
Reports to: Operational Lead, with accountability to the Board of Directors
Rate of Pay: Hourly Wage $22.00–$27.00

The Financial Administrator plays a key role in supporting these values through accurate, ethical and collaborative financial practices.
The Waterfront Child Development Centre (WCDC) is seeking a detail-oriented, organized, and collaborative Financial Administrator to oversee the organization’s day-to-day financial operations.
Working
Closely with the Operational Lead and Board of Directors, the Financial Administrator will support accurate, ethical and transparent financial practices, regulatory compliance, effective reporting, and the long-term sustainability of WCDC. The role is well suited to an experienced financial professional who values accuracy, confidentiality, collaboration, and meaningful community-based work.
About The Role The Financial Administrator is responsible for overseeing the day-to-day financial operations of WCDC, including accounting, payroll, billing, reconciliations, financial reporting, and administrative support.

Key Responsibilities Financial Operations & Accounting
- Record daily financial transactions and maintain complete and accurate accounting records
- Process accounts payable and accounts receivable accurately and on time
- Complete month-end procedures,
including bank and general ledger account reconciliations
- Perform monthly bank reconciliations
- Monitor cash flow and support short- and long-term financial planning
- Maintain organized, secure, and confidential financial records
- Follow established approval authorities, internal controls, and financial policies.
- Maintain appropriate documentation and audit trails for financial transactions
- Identify discrepancies, unusual transactions, or emerging financial risks, and promptly bring them to the attention of the Operational Lead
Payroll & Compliance
- Process biweekly payroll accurately and in accordance with applicable requirements
- Prepare payroll remittances and complete required filings by established deadlines
- Maintain accurate payroll records, including vacation and sick leave balances
- Support compliance with funding requirements, wage enhancement programs, and workforce initiatives, as applicable
- Collaborate with the Organizational Lead to maintain accurate enrolment, revenue, and billing records
Billing, Invoicing & Revenue Management
- Prepare and issue monthly parent tuition invoices
- Prepare and issue annual tax receipts for parents
- Monitor and manage accounts receivable and support collection processes
- Collaborate with the Operational Lead on enrolment-related financial tracking
Financial Reporting & Budget Support
- Prepare timely monthly financial statements, budget-to-actual reports, cash-flow information, and supporting schedules for review by the Operational Lead and presentation to the Board of Directors
- Assist the Operational Lead and Board in Developing the annual operating budget and monitoring the financial performance throughout the year
- Compile and submit accurate financial information to funders, government agencies, and other authorized stakeholders by established deadlines
- Explain material variances and provide supporting information to assist leadership and the Board with financial decision making.
Systems, Administration & Collaboration
- Maintain and improve financial systems, tools, and office processes to support efficiency
- Provide administrative support as required, including reception and visitor management
- Collaborate with the Operational Lead, Board of Directors, and staff to support smooth daily operations
- Maintain organized electronic and paper records
- Complete additional related duties as assigned

Required Skills Qualifications & Experience Education & Certification
- College diploma in Accounting, Business, or a related field
- Clear Criminal Record Check (Vulnerable Sector)
- Proof of required Immunizations, as applicable
Experience
- Minimum three (3) years of experience in a financial or accounting role
- Experience processing payroll and government remittances
Knowledge, Skills & Abilities
- Strong knowledge of accounting systems and financial reporting requirements
- Proficiency with computerized accounting and payroll system “Sage 50”, and Microsoft Office applications, particularly Excel and Word.
- Excellent organizational, analytical, and attention to detail skills
- Strong written and verbal communication skills
- Ability to manage competing priorities and meet deadlines
Working Conditions & Physical Requirements
- Work is primarily performed in an office and involves extended periods of computer and keyboard use. The position may require sitting, standing, waling and occasionally lifting or moving office materials weighing up to 15 pounds
- Ability to work 35-37.5 hours per week Monday to Friday hours will fall between the hours of 7:30 a.m.-5:30 p.m.
