About the Role

We are seeking a reliable, organized, and hands-on General Operations Assistant to provide day-to-day operational and administrative support within a research and performance environment in Oakville, Ontario.

This is a varied support position involving facility organization, equipment and supplies, basic administrative and data-entry tasks, and participant/client coordination.

We're looking for someone who is dependable, personable, highly organized, and comfortable switching between administrative work and hands-on tasks. No specialized research, science, fitness, or healthcare background is required.

Responsibilities

Responsibilities may include

- Greeting and checking in participants, clients, and visitors
- Supporting participant/client scheduling, confirmations, and appointment coordination
- Assisting with participant/client flow throughout the facility
- Completing basic data entry into approved systems according to established procedures
- Entering, uploading, or transferring predetermined information and records
- Checking forms or administrative records for completeness and flagging missing information for appropriate staff
- Preparing and resetting rooms and workspaces
- Setting up, moving, organizing, and storing equipment and supplies
- Maintaining organized storage and common work areas
- Completing basic inventory checks and identifying items requiring restocking
- Receiving, unpacking, organizing, and stocking deliveries
- Preparing materials and supplies for upcoming activities
- Printing, scanning, filing, and organizing documents




- Assisting with basic scheduling and other administrative tasks
- Supporting setup and logistics for meetings, filming, projects, and facility activities
- Assisting with occasional local errands, pickups, or deliveries
- Helping maintain an organized, functional, and professional facility
- Completing other routine operational and administrative support tasks as needed

- Is willing to take on different tasks depending on day-to-day operational needs
- Is friendly, professional, and comfortable interacting with participants and clients
- Is highly organized and attentive to detail
- Is comfortable performing accurate, repetitive data-entry tasks
- Can follow written and verbal instructions carefully
- Can work independently after appropriate training
- Is comfortable with a mix of administrative and hands-on responsibilities
- Communicates clearly and professionally
- Is comfortable learning new software and administrative systems
- Understands the importance of confidentiality and handling sensitive information appropriately

Qualifications

Required:





- High school diploma or equivalent
- Reliable ability to work on-site in Oakville, Ontario
- Strong organizational, interpersonal, and communication skills
- Basic computer proficiency
- Strong attention to detail and accuracy
- Ability to follow established procedures and instructions
- Ability to safely move and organize ordinary equipment, boxes, and supplies associated with the position

Nice to have, but not required:

- Previous administrative, reception, customer service, operations, recreation, fitness, research, or similar experience
- Previous experience with scheduling, client/participant check-in, or data entry
- Familiarity with Google Workspace or similar productivity software

Role Scope This is a general operational and administrative support position. The successful candidate may assist with participant/client check-in, scheduling, routine communications, data entry, and other standardized support activities following established procedures.

The position does not independently conduct research or clinical procedures, determine research eligibility, interpret research or clinical data, make protocol or clinical decisions, provide certified exercise services, or perform regulated healthcare activities.

Position Details

- Compensation: From $20.00 per hour
- Job type: Part time / Casual, Independent Contractor
- Location: On-site in Oakville, Ontario
- Schedule: Variable based on operational needs

Pay: $20.00-$22.00 per hour
