Human Resources Assistant - Relief

Overview
The Human Resources Assistant provides administrative support for onboarding, employee status changes, personnel records administration, and HR system data management while the RDCO implements the Workzoom HRIS system.
Responsibilities
1. Onboarding Administration
- Coordinate employee onboarding activities to ensure required documentation is completed and tracked.
- Maintain onboarding checklists, schedules, and facilitate workflow processes.
- Ensure onboarding documents, forms, and acknowledgements are received, recorded, and filed appropriately.
- Liaise with Payroll, Information Services, Facilities, and departments regarding onboarding requirements.
1. Personnel Status Change Administration
- Receive, review, and process personnel status changes including:
- appointments;
- transfers;
- promotions;
- acting assignments;
- salary changes;
- leaves of absence;
- hours of work changes;
- employment status updates; and
- end of employments.
- Monitor approval workflows and follow up on outstanding documentation.
- Ensure employee records are updated accurately and in a timely manner.
1. HR System and Data Management
- Perform manual data entry into Workzoom live system
- Perform manual data entry into Workzoom sandbox system
- Maintain excel spreadsheets and manual processes while Workzoom is being implemented
- Maintain employee records and personnel files in accordance with records management requirements.
- Maintain electronic and paper files and ensure data integrity.
1. Process Tracking and Administrative Support
- Maintain recruitment, onboarding, and status change tracking systems.
- Monitor deadlines and service standards and identify overdue items for follow-up.
- Prepare reports, spreadsheets, and administrative summaries.
- Assist with the development and maintenance of forms, templates,
procedures, and administrative guides.
- Respond to routine inquiries from employees and managers regarding HR processes and documentation requirements.
Qualifications
Education and Training Required:
- Diploma or certificate in Human Resources, Business Administration, Office Administration, or a related field.
- Minimum of two years of progressively responsible administrative experience, preferably in a Human Resources environment.
- Experience maintaining confidential records and databases.
- Experience with HRIS, payroll, recruitment, or onboarding systems is considered an asset

- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and deadlines.
- Strong organizational and records management skills.
- Ability to maintain confidentiality and exercise discretion.
- Excellent interpersonal and customer service skills.
- Strong written and verbal communication skills.
- Ability to interpret and apply policies, procedures, forms, and collective agreement provisions related to routine HR administration.
- Proficiency with Microsoft Office applications including Excel, Word, Outlook, and Teams.
- Ability to learn and utilize HR information systems, databases, and electronic workflow tools.

Additional Information
This is an Exempt relief position that is scheduled on an as needed basis. This relief position will receive 4% in lieu of vacation and benefits. Applications will be accepted until September 11, 2026.
