Job Title: Intake/Receptionist (Contract from September 1 to December 31, 2026)
Department: Housing
Reports To: Housing Manager and Team Lead, Landlord Engagement, Opening Doors and Housing Retention
Hours of Work: 8:30 a.m. – 4:30 p.m.

Job purpose The Housing Receptionist is the first point of contact to both Housing and CDCD clients seeking assistance and providing administrative support to the Housing team in a professional and courteous manner.
This position will be welcoming and ensuring a positive experience, whether the interaction occurs in person, over the telephone, email or via video conferencing. As a brand ambassador for the agency, the successful incumbent will be the first touch point to greet clients and visitors.
Duties and responsibilities
- Using client-centered, anti-oppression, anti-racism, trauma-informed, gender-based analysis plus+ and strength-based approaches, build relationships and establish rapport with existing community partners, vendors and staff.
- Maintain confidentiality and privacy protection measures for all community partners, vendors staff and clients.
- Promote a high-functioning teamwork setting that is inclusive, harmonious, cooperative, efficient and productive.
- Actively participate and promote a positive workplace culture through agency committee membership and departmental activities. Assess client needs and divert calls/walk-ins to the appropriate staff and program on a timely basis.
- Respond to public inquiries with a client centered approach and provide general information regarding available programs.
- Receive, direct and relay telephone, emails and fax messages.
- Oversee pick-up and delivery of mail.
- Receive and dispatch packages including directing invoices to the finance team.
- Provide administrative support to the Housing Team Leads, Management and Housing team such as managing Housing Team Staples supply order.
- Provide support to the Housing Intake Worker in receiving and logging new HSP applications when required and sending out HSP applications through e-mail to clients when needed.
- When required share referral services with clients and liaise with the different service providers (i.e.
Brain Injury
Association of Canada, John Howard Society, Muslim Welfare Centre, Social Services, etc.)
- Assist in the planning and preparation of Housing meetings, conferences and conference telephone calls.
- Prepare minutes for Housing team meetings.
- Responsible for managing any maintenance service requirements for the fax/photocopier to ensure they are operational.
- Ensure that the fax, photocopier and printers are stocked well with paper, toner cartridges, staples, etc. and when there is a shortage of the items, to liaise with the different service providers and place orders as and when required.
- Maintain a safe and clean reception area by complying with procedures, rules and regulations.
- Participate in promoting a positive workplace culture through committee membership and agency activities.
- Lead for Marketing for Housing team, ability to use Canva to create and promote flyers
- Check website and identify errors, additions or edits
- Other duties as assigned by the Housing Manager or Housing Team Leads.
The job incumbent may be required to perform other duties as assigned
Additional Requirements
- The Housing Receptionist-Administrator will work out of an office environment and will be required to lift up to 20 lbs. Prolonged sitting is required.
- The Housing Receptionist-Administrator will need to be flexible in the case of attending evening and/or weekend meetings and events as required.
- A valid Ontario driver’s license (Class G),
use of a vehicle and insurance with the ability to work in a variety of settings.
- The successful candidate must provide an acceptable Vulnerable Sector Screening and certificate demonstrating proof of full vaccination against COVID-19 prior to commencing employment.
- The physical ability to function effectively in an environment that includes both a normal office and duties being carried out in an external setting.
