The Opportunity

Reporting to senior leadership, the Junior Human Resources Coordinator will support the day-to-day administration of Initio’s human resources functions, including recruitment, onboarding, employee records, benefits administration, training coordination, performance management processes, policies, and employee engagement.

This role requires exceptional organization, discretion, professionalism, and follow-through. You will regularly work with confidential employee information and will be a key point of contact for employees throughout their employment journey.

The successful candidate does not need to know everything about HR on day one. We are looking for someone with a solid foundation, excellent judgment, a willingness to learn, and the initiative to find answers and follow tasks through to completion.

Key Responsibilities

Recruitment & Hiring

- Support recruitment activities for clinical, technical, administrative, and leadership positions.
- Prepare and post job advertisements across appropriate recruitment platforms.
- Review applications and assist with candidate screening.
- Coordinate interviews between candidates and hiring managers.
- Communicate professionally with candidates throughout the recruitment process.
- Conduct reference checks and support pre-employment requirements.
- Prepare employment agreements, offer documentation, and new-hire packages.
- Maintain recruitment records and candidate tracking.
- Help create a positive and professional candidate experience from first contact through onboarding.

Employee Onboarding

- Coordinate the onboarding process for new employees.
- Ensure employment documentation, payroll information, tax forms, emergency contacts, identification, confidentiality documentation, and other required records are completed.
- Coordinate system and account access with appropriate departments.
- Maintain onboarding checklists and follow up on outstanding requirements.
- Coordinate orientation, required training, policies, and introductions.
- Ensure new employees understand where to access resources and who to contact when they need assistance.
- Check in with new employees throughout their initial onboarding period.
- Support managers in creating a welcoming, organized, and consistent onboarding experience.

HR Administration & Employee Records

- Maintain accurate, confidential, and organized employee personnel files.
- Ensure employee documentation remains current and complete.
- Track employment changes, compensation updates, leaves, status changes, and other employee information.
- Prepare HR letters, forms, templates,



and internal documentation.
- Maintain organizational charts, employee lists, and HR trackers.
- Assist with vacation, leave, attendance, and employment-related documentation.
- Support payroll administration by ensuring employee changes and required information are communicated accurately and on time.
- Respond to routine employee HR questions and direct more complex matters to the appropriate member of leadership.

Benefits & Employee Programs

- Support employee enrolment in benefit programs.
- Coordinate benefit changes resulting from new hires, employee status changes, or departures.
- Assist employees with general benefit questions and connect them with providers when appropriate.
- Maintain accurate benefit and eligibility records.
- Support the administration of employee programs and initiatives.

Training & Development

- Maintain employee training and competency records.
- Track mandatory training requirements and renewal dates.
- Coordinate internal and external training sessions.
- Send reminders and follow up on outstanding training requirements.
- Support leadership in identifying employee development opportunities.
- Assist with the administration and documentation of employee performance reviews and development plans.

Performance & Employee Experience

- Support the administration of Initio’s employee performance management processes.
- Assist with scheduling and documenting employee check-ins and performance reviews.
- Maintain KPI and performance-related documentation as directed by leadership.
- Help coordinate employee recognition, engagement, and team-building initiatives.
- Support employee surveys and feedback initiatives.
- Identify recurring employee questions or concerns and bring trends forward to leadership.
- Help ensure employees feel informed, respected, and supported throughout their employment.

Policies, Compliance & Confidentiality

- Assist with maintaining and updating HR policies, procedures, forms, and templates.
- Support communication and acknowledgement of new or updated workplace policies.
- Maintain confidential employee information with the highest level of discretion.
- Support compliance with applicable employment standards, privacy requirements, workplace policies, and occupational health and safety requirements.
- Assist with documentation related to workplace incidents, leaves, accommodations, and employee matters under the direction of senior leadership.
- Stay informed about changes to employment-related requirements and bring relevant updates to leadership.

Offboarding

- Coordinate administrative requirements when an employee leaves the organization.
- Prepare required documentation and offboarding checklists.
- Coordinate return of company property and removal of system access.
- Ensure employee files and records are appropriately completed.




- Support exit interviews and collection of employee feedback where applicable.
- Help ensure departures are handled professionally, respectfully, and consistently.

What We’re Looking For

Qualifications

- Diploma or bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related discipline.
- Approximately 1–2 years of HR, recruitment, administrative, or people-operations experience is preferred; strong current graduates with relevant practicum or co-op experience are encouraged to apply.
- Working knowledge of British Columbia employment standards and general HR practices is an asset.
- Previous experience in healthcare or another regulated environment is an asset but not required.
- Strong proficiency with Microsoft Office and/or Google Workspace.
- Experience with HRIS, payroll, scheduling, benefits, or applicant tracking systems is an asset.
