Job Details & Objective The Legal Administrative Assistant plays a key role in HVE’s overall success by being an integral member of our Client & Legal Services department. The incumbent will primarily support legal processes, including legal requests and the administration of the Licence Appeal Tribunal (LAT). In addition, responsibilities will encompass managing assessor CVs, preparing dispute-related forms, handling file production requests, and addressing assessor dispute attendance matters.

Responsibilities will also include greeting and welcoming claimants and other visitors to the office and answering and screening phone calls.

Job Responsibilities

· Monitor, manage and track the legal documents request mailbox, ensuring prompt response to legal inquiries

· Maintain accurate legal records, tribunal documentation, correspondence,



and case-related information within HVE's Management Information System (MIS), ensuring confidentiality and regulatory compliance.

· Retrieve and forward assessor CVs to legal representatives or insurers as requested

· Facilitate LAT Form and Acknowledgment of Experts Duty (AED) Form completion by assessors or complete on their behalf with written authorization

· Process requests for complete file information, including draft reports, ensuring compliance with privacy and disclosure protocols (proper authorization, explicit permission, secure transmission of records)

· Act as a liaison between assessors and legal representatives

· Assist in scheduling and confirming assessor availability

· Ensure all legal correspondence follows organizational guidelines and regulatory requirements

· Process file information for health practitioners and send it out in advance of assessments

· Create document lists

· Answer, screen and forward incoming phone calls promptly and courteously

· Greet and welcome claimants and other visitors to the office

· Act as a chaperone for examinations

· Maintain a tidy and organized reception area

· Perform administrative support tasks such as data entry, document preparation, and detailed notes on HVE’s internal system

What We Offer

· $22 per hour (commensurate with experience)

· 2 Weeks of paid vacation + 6 PTO days (Paid Time Off)

Reports To: Manager of Administration

Hours & Location:

· 8am-5pm/8:30am-5:30pm/9am-6pm (Tuesday to Saturday)

· Full-time, on-site at HVE’s Vaughan Head Office, including Saturdays in HVE’s Vaughan office

Breaks: 1 hour unpaid lunch

What You’ll Bring

· University or College Degree in Law, Legal Administration, or a related field

· 1-2 years of administrative or legal support experience, preferably in a medical-legal, insurance, or healthcare setting

· An interest in writing legal letters, proofreading, fact checking with impeccable attention to detail

· Exceptional Word, Excel, and Microsoft Suite skills

· Professional interpersonal skills and comfortable speaking to legal representatives

· Strong multitasking and project management skills

· Ability to thrive in a high volume, deadline-driven workplace

· High level of professionalism and confidentiality
