Level I, Estate Administrator – Proposals

Location: Downtown Calgary / HybridReports to: Manager, Proposal Services The Opportunity

Bromwich+Smith is looking for a detail-oriented and compassionate Level I, Estate Administrator – Proposals to support the administration of Consumer Proposal files.

In this role, you will help clients move through their Consumer Proposal by keeping estate information accurate, monitoring payments and file requirements, following up on outstanding items, and ensuring important deadlines are met.

You will work with clients who may be experiencing challenging financial circumstances, so clear communication, empathy, accuracy, and good judgment are essential. You will also work closely with other members of the Proposal Services team, Licensed Insolvency Trustees, Proof of Claim Specialists, creditors, and other internal partners.

This opportunity is well suited to someone who enjoys detailed administrative work, problem-solving, helping people, and taking ownership of their work from beginning to end.

What You’ll Do

Administer Consumer Proposal Files Support the day-to-day administration of Consumer Proposal estates.

Process and maintain debtor and estate information using B+S insolvency software.

Monitor estate files, client activity, payment status, and file progression using Proposal Administration dashboards.

Maintain complete and accurate documentation throughout the life of the proposal.

Review files regularly to ensure required activities and follow-ups are completed on time.

Help prepare files for the next stage of administration, including completion or discharge requirements.

Identify missing information, inconsistencies, or issues and take appropriate action or escalate when required.

Monitor

Payments and Support Clients Monitor client payment arrangements and proposal balances.

Proactively follow up with clients regarding missed payments, arrears, and non-sufficient funds.

Provide clients with clear information about their payment status and proposal requirements.

Assist with payment-related requests, including eligible payment postponements.

Document client conversations and actions accurately.





Communicate respectfully and compassionately while maintaining the requirements of the Consumer Proposal.

Follow up on outstanding matters until they are appropriately resolved.

Maintain

Compliance and Accuracy Administer proposal files in accordance with the Bankruptcy and Insolvency Act (BIA) and applicable Office of the Superintendent of Bankruptcy directives.

Verify information and documentation for accuracy and compliance.

Handle personal and financial information in accordance with privacy requirements and B+S practices.

Meet applicable regulatory and internal deadlines.

Maintain accurate and organized estate records.

Use established procedures and sound judgment when addressing routine issues.

Escalate more complex or higher-risk concerns to senior team members or leadership when required. Work Together to Resolve Estate Matters Collaborate with Level II and Senior Estate Administrators, Team Leads, and other members of Proposal Services.

Work with Proof of Claim Specialists to confirm liabilities, creditor information, account numbers, and related documentation.

Share information with internal teams to help resolve client and estate issues efficiently.

Communicate with creditors, including financial institutions, when information or clarification is required.

Share knowledge, observations, and best practices with the team.

Look for opportunities to improve workflows and make proposal administration more efficient.

What You Bring

Sound judgment and the ability to recognize when an issue needs to be escalated.

The ability to follow established procedures while taking ownership of your work.

Comfort working with confidential personal and financial information.

The ability to work independently while contributing to a collaborative team environment.

Confidence learning and working within specialized software, dashboards, and digital systems. Previous experience in insolvency, financial services, banking, administration, collections, or a regulated environment would be considered an asset.

Knowledge of Consumer Proposals, the Bankruptcy and Insolvency Act, or Office of the Superintendent of Bankruptcy requirements would also be considered an asset.
