POSITION SUMMARY The Logistics Administrator provides administrative and documentation support for daily fuel distribution activities. Working closely with our Logistics Coordinators, third-party dispatchers and carriers, customers, suppliers, and internal teams, this role helps ensure fuel deliveries are accurately documented, tracked, and processed.

Key Responsibilities & Duties
Logistics & Documentation Support
- Provide administrative support to daily logistics and fuel distribution operations.
- Enter and maintain fuel orders, delivery details, schedules, and customer instructions.
- Obtain required documentation from customers, carriers, and Logistics Coordinators.
- Review and process bills of lading, load slips, delivery tickets, manifests, and related documentation.
- Verify delivery details, fuel volumes, product information, and customer/site information.
- Follow up on missing documentation, discrepancies, or incomplete information.
- Maintain accurate electronic fuel distribution and transportation records.
- Assist with reconciliation of ordered, loaded, and delivered fuel volumes.
- Monitor scheduled deliveries and communicate changes, delays, or issues.
- Escalate delivery, documentation, or service concerns as required.
Customer & Operational Support
- Respond to routine customer inquiries regarding deliveries and order status.
- Communicate professionally with customers, third-party carriers, suppliers, and internal teams.
- Support urgent delivery changes and operational requests.
- Maintain current customer, delivery-site, carrier, and supplier information.
- Provide general administrative support to the Logistics Manager and team.
Qualifications
- High school diploma required; post-secondary education in business administration, logistics, transportation, or a related field is an asset.
- 5+ years of administrative, logistics, dispatch, transportation, or fuel industry experience preferred.
- Strong App, Software,
Microsoft Outlook, Excel, Word, and data-entry skills.
- High level of accuracy and attention to detail.
- Strong organizational, communication, and time-management skills.
- Ability to manage multiple priorities and time-sensitive tasks in a quick-paced environment.

Working Conditions Primarily office-based with frequent computer and telephone use and regular communication with logistics personnel, customers, carriers, and operational teams. The role requires the ability to manage changing priorities and time-sensitive requirements associated with fuel distribution.
Physical demands typically include:
- Extended periods of sitting or remaining in a stationary position.
- Repetitive motion with use of hands, wrists, and fingers.
- Visual acuity for reading, monitoring, and performing screen work.
- Occasional light lifting or carrying items weighing between 10 and 25 pounds, such as printer paper, office files, or small equipment.
- Occasional reaching, bending, or stooping to reach lower files or adjust equipment.
