We are seeking a highly organized and detail-oriented Logistics coordinator assistant to join our team. As a Logistic Coordinator assistant, you will be responsible for coordinating and managing the logistics of our operations.
Your main duties will include:
1. Supplier and Warehouse Communication
- Communicate with suppliers and warehouses in the USA and Canada.
- Place orders and assist suppliers in dispatching trucks.
- Ensure timely and accurate truck loading through coordination with trucking vendors.
1. Trucking Logistics:
- Compare and negotiate different trucking quotes, securing optimal rates.
- Collaborate with trucking vendors to address any issues and confirm timely cargo loading.
1. Order Confirmation and Shipping Coordination:
- Confirm order requirements with the procurement team.
- Forecast and seek necessary orders, book shipments, and coordinate with forwarders.
- Coordinate freight quotes for sea shipments, ensuring maximum company benefit.
1. Export Documentation:
- Prepare export-related documents such as AES and CERS files.
- Collect and organize data for accurate customs declarations.
- Ensure proper documentation for smooth customs clearance in both Canada and the USA.
1. Shipping Issue Resolution:
- Handle various issues during sea shipments, coordinating resolutions among suppliers, forwarders, shipping companies, and consignees.
- Address conflicts of interest promptly to ensure smooth operations.
1. Customer Payment and Release Coordination:
- Notify forwarders upon receiving customer payments for cargo release to international consignees.
- Ensure international consignee's smooth customs clearance, delivery, and container return.
- Confirm with forwarders to avoid additional charges, and if incurred, notify the company promptly for cost allocation.
1. Logistics Team Support:
- Participate in logistics department interviews for new hires.
- Assist new employees in logistics with relevant training and knowledge.
To excel in this role, you should possess the following skills:
- Post-secondary degree or diploma in Business, Logistics, and Supply Chain Management major, or one or more years of proven experience in logistics coordination, preferably in the recycling or trading industry.
- Proficiency in using warehouse management systems (WMS)
- Strong negotiation and communication skills.
- Familiarity with international shipping regulations and documentation.
- Ability to analyze data and make informed decisions regarding pricing, freight, and transportation routes
- Ability to handle and resolve conflicts of interest among suppliers, forwarders, and consignees.
- Excellent organizational and time management skills.
- Excellent English writing and speaking skills.
- Canadian citizens, PR or work permit holders are preferred.
- Fluency in spoken and written Spanish is required to communicate effectively with international customers and business partners.
