Who we are Sonata Design and our sister company Empower Projects builds hurricane-resistant homes across three markets. We design in Calgary, manufacture in Canada, and build in the Bahamas, St. Vincent and the Grenadines, and Canada. Vertically integrated means we control design, engineering, estimating, procurement, shipping, and construction under one roof, and the projects on our board right now include a gated subdivision, a canal-front villa program, and an island estate development where we are the preferred builder. Small team, real projects, no layers. The job in one sentence You are the connective tissue between design, estimating, two island job sites, ownership, and every supplier, engineer, and client in between. Why the role exists Our bottleneck is not talent. It is the handoff. Drawings reach estimating incomplete. A supplier gives a lead time on a phone call and it never lands in the tracker. A site supervisor needs an inspection date that is sitting in someone’s inbox. Decisions get made and nobody writes them down. We need one person who owns the space between people. Someone who closes the loop before it opens into a problem. What you will own Coordination and cadence

Run the weekly cycle: agendas out before, minutes out after, every action item carrying a named owner and a date Chase open items to closure, politely and relentlessly, including chasing the owners of this company Keep the project board current so it is the single source of truth, not one of four competing lists Design to estimating handoff

Make sure drawing packages are complete before they reach estimating,



and that revisions are logged with a version and a date Maintain the RFI log, the client selections tracker, and the specification schedules Flag scope changes the moment they appear, before they land in someone’s cost Procurement, logistics, and site

Maintain the purchase order log, supplier lead times, and delivery dates, and update them weekly Coordinate container consolidation and shipping documents with our logistics coordinator Collect weekly site reports and progress photos from our Bahamas and SVG supervisors, and turn them into something ownership can read in two minutes Track permits, inspections, and engineering sign-offs across two jurisdictions Executive support

Calendar, travel, and inbox triage for the President and the technology and strategy lead Turn voice memos, WhatsApp threads, and half-finished emails into clean, actionable documents Prepare client and supplier correspondence for review, on brand and error-free Work with our finance lead on invoices matched to purchase orders, draw schedule milestones, and expense capture What success looks like at 90 days Nothing is waiting on you and nobody has to ask you twice. Ownership stops carrying the follow-up in their heads,



because you already have it. What we are looking for Three or more years coordinating projects in construction, manufacturing, engineering, or professional services Evidence you have been the person holding five parties to a schedule, not the person taking notes while others did Writing strong enough that your emails go to clients without being rewritten Fluent in Excel or Google Sheets, and comfortable in at least one project tool such as Jira, Asana, Monday, Procore, or Buildertrend Willing to work across Mountain, Eastern, and Atlantic time zones Organized by instinct. If your own systems are a mess, this will not work Nice to have You can read a set of construction drawings and know what is missing from them Caribbean or international shipping, customs, or freight forwarding exposure QuickBooks Online, bookkeeping, or accounts payable experience Experience in a small company where the job description was a starting point What this job is not You will not design homes or price them. Design and estimating are held by specialists and you support both You have no pricing authority. Numbers reach clients only after our estimating lead signs off This is not a passive administrative seat.
