Office Administrator
4 months with possibility of extension
MacKinnon & Olding has an immediate need for an Office Administrator. The office administrator plays a vital role in ensuring that the day-to-day operations of the office run smoothly and efficiently. They are responsible for managing a variety of administrative, logistical, and organizational tasks. This role will also manage office supplies, supporting staff with necessary resources, and ensure the office environment is conducive to the well-being of employees.
RESPONSIBILITIES: What you will do
- Manage office correspondence, including phone calls, emails, and mail distribution
- Maintain office filing systems, both physical and digital
- Assist in preparation of reports, presentations, and other documents as needed
- Oversee the day-to-day office environment, ensuring that the office is clean, organized, and well-maintained
- Liaise with vendors for office supplies, equipment maintenance, and other service needs
- Keep track of vendor contracts, renewals, and service agreements; ensure timely payments of office-related invoices and expenses
- Assist with payables and credit card reconciliation
- Monitor and manage office budgets, tracking expenses, and cost-saving opportunities
- Coordinate repairs or replacements of office equipment as needed
- Be the point of contact for employees regarding office-related issues and requests
- Assist in onboarding of new employees by providing necessary resources and information
- Coordinate the collection of timecards from various site locations and record in the system when required and assist with timekeeping
- Allocate costs collected through time clock entry to appropriate job and cost items
- Facilitate communication between different departments to ensure smooth operations
- Other duties as required
QUALIFICATIONS: Your background
- Post-secondary education in Business Administration, Management, or related field
- Minimum 5 years experience in an office management or administrative role
- Proficiency in office software such as Microsoft Office Suite
- Knowledge of basic accounting and budgeting practices
