Job Summary We are seeking a proactive and community-minded Office Assistant to support our dynamic team and help advance our mission! In this vital role, you will ensure smooth administrative workflows and provide a welcoming point of contact for donors, volunteers, community partners, and the individuals we serve. Your organizational talents and attention to detail will help maximize our impact, ensuring our team has the support needed to make a real difference every day.

This paid position offers an exciting opportunity to grow with us—starting as a part-time role with a clear path toward increased working hours and expanding responsibilities as our programs and organizational footprint grow.

Responsibilities

- Manage front-desk reception duties, warmly greeting community members, volunteers, and donors, while handling phone calls with empathy and professionalism
- Perform accurate data entry and record-keeping using Microsoft Office, Google Workspace, and DonorPerfect to track donor contributions and administrative records
- Organize and maintain efficient physical and digital filing systems for grants, donor records, volunteer forms, and organizational files
- Assist with clerical tasks, including proofreading donor communications, preparing impact reports, coordinating mailings, and managing volunteer communication and information
- Coordinate volunteer onboarding
- Monitor office and program supply inventories, placing orders responsibly to optimize operational budgets
- Provide general administrative support,



including document scanning and light event planning support
- Prepare to take on additional shift hours and expanded operational responsibilities as the organization scales its community outreach

Skills & Qualifications

- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Solid computer skills with the ability to quickly adapt to software platforms
- Prior office experience focused on clerical duties, meticulous data entry, and proofreading
- Experience with DonorPerfect or similar donor management databases is highly desirable
- Exceptional organizational skills with the ability to balance multiple priorities in a mission-focused environment
- Outstanding interpersonal and customer service skills, with a compassionate demeanor and professional phone etiquette
- Flexibility and enthusiasm for stepping into a growing role, with availability to transition into increased working hours over time
- Strong typing skills and high attention to detail in tracking donor and community data
- Prior experience or volunteer work within a non-profit, human services, or community organization setting is a robust plus
