Role Description The Office Administrator is a full-time, on-site role based in Abbotsford, BC. This position is responsible for managing day-to-day office operations, including handling phone and email inquiries, greeting clients, scheduling meetings, and maintaining organized filing and record-keeping systems.
The role involves preparing and processing documents, data entry into internal systems, and coordinating the flow of information between dealing representatives, mortgage brokers, and clients.
The Office
Administrator will monitor office supplies,
support the use and maintenance of office equipment, and assist with basic bookkeeping or reporting tasks as required. This role also requires providing responsive customer service, ensuring a professional office setting, and supporting team members with administrative tasks to keep workflows efficient.
Qualifications
- Candidates should possess strong Office Administration and Administrative Assistance skills, including organizing workflows, managing records, and supporting daily operations.
- Candidates should possess proficiency with Office Equipment and related software tools, including printers, scanners, phone systems, and productivity applications.
- Candidates should possess excellent Communication and Customer Service skills to interact professionally with clients, lenders, and internal team members.
- Previous experience in a financial services, mortgage, or investment office environment is an asset.
- Robust attention to detail, accuracy in data entry, and the ability to manage multiple tasks and deadlines.
- Comfort working on-site in a client-facing setting and collaborating with a small, professional team.
- Proficiency in MS Office (Word, Excel, Outlook) or similar office software; experience with CRM or document management systems is beneficial.
- Relevant post-secondary education or training in office administration, business, or a related field is preferred.
