Salary Range

The salary range for this position is CAD $35.76 - $37.75 / hour

Detailed Overview

Supervises office staff for designated areas and performs a variety of administrative support duties including organizing workflow and determining priorities, developing and implementing office policies and procedures; coordinates financial control systems for site offices; organizes and implements the purchase and requisitioning of operating and capital equipment, supplies and telecommunications systems; provides administrative services for space and accommodation planning; coordinates and monitors processes related to local service provider contracts; performs research and produces relevant reports and documents; performs other related general office duties.

Responsibilities

- Supervises site office staff by performing duties such as establishing, scheduling and coordinating work assignments, monitoring and evaluating employee performance and determining related training and orientation requirements.

- Designs, implements and updates time keeping systems to ensure accuracy of data; supervises and trains staff for payroll data entry for Home Health Care staff from different site offices; investigates and responds to employee inquiries related to payroll.

- Monitors and maintains employee leave records; collaborates with manager and regional continuing care Human Resource Services to ensure benefits, hours of work, overtime and other collective agreement provisions are administered appropriately; ensures documentation for new staff is forwarded to Human Resource Services.

- Supervises the orientation of new staff for Provincial computer system; arranges for current staff to access regional computer training for the regional computer systems.

- Liaises with Information Services regarding services for computer equipment, and acts as a resource/troubleshooter with respect to systems or program related issues.

- Manages contracts for designated offices by reviewing for accuracy, ensuring payments are consistent with contract terms,



tracking and reviewing the financial status of contracts; draws up local contracts as requested by site manager and ensures signatures and authorization are valid.

- Reviews the capital and operating budget for equipment and space in collaboration with the site Manager; liaises with appropriate contacts ensuring requisitions/purchase orders are accurate; maintains inventory; oversees the receipt, storage and distribution of supplies and equipment.

- Provides site administrative services in space and accommodation planning; coordinates office moves and space planning; arranges for building maintenance and repairs; liaises with B.C.

Corporation on lease issues such as security, renovations and maintenance.

- Participates in the hiring of new applicants for administrative support positions by screening applicants and participating in the interview process; makes hiring recommendations.

- Ensures records management practices and procedures are applied consistently in accordance with established procedures including the use, maintenance and disposal of client and administrative files and records.

- Oversees accounts payable invoices for designated sites including contract payments for direct care hours and the administration of petty cash expenses; conducts research and produces a variety of statistical reports.

- Performs other related duties as assigned.

Qualifications

Education and ExperienceGrade 12, graduation from a recognized administrative assistant or secretarial program plus three (3) years' recent, related experience including one year in a supervisory capacity or an equivalent combination of education, training and experience.

Skills and Abilities

- Ability to type at 50 w.p.m.

- Ability to communicate effectively both verbally and in writing.
