PRIMARY FUNCTION: To coordinate for the Legal Operations Division operational planning and analysis, including strategic risk management, project coordination, reporting, change management and performance measurement. This position gathers data and conducts analysis, performs research, and gives recommendations to internal and external stakeholders. This includes the facilitation of workshops, creative problem solving and project work.

DUTIES: 1.SUPPORT THE STRATEGIC INITIATIVES OF THE LEGAL OPERATIONS DIVISION THROUGH PLANNING, ANALYSIS AND ASSESSMENT: Review and recommend the development and maintenance of common operational definitions, key performance indicators, data dictionaries, reporting inventories, and documentation that improve consistency and confidence in Legal Operations reporting.

Analyze service volumes, workflow trends, resource utilization, demand patterns, turnaround times, productivity indicators, and other operational measures to identify risks, opportunities, and practical improvement options for management consideration.

Apply statistical analysis, forecasting, and data modelling techniques to interpret operational trends, support scenario analysis, and provide evidence-informed recommendations for business and service planning decisions.

Act as a functional bridge between Legal Operations and the Data and Analytics team, ensuring operational priorities, service delivery questions, and management reporting needs are translated into clear analytical, reporting, and technical requirements. Work with IT to ensure system performance and maintenance needs are met.

Consult with internal stakeholders on strategic risks and opportunities, planned and horizon activities, resource and capacity requirements;

Coordinate and facilitate strategic and operational planning workshops;

Support the various functions within the Legal Operations Division on their day-to-day operations,



including schedule management, streamlining information flow (including information to and from the Manager), and communicating with various departments.

Review and recommend cross-departmental and cross-divisional initiatives in collaboration with other team members, ensuring timely and successful execution of such initiatives.

Attends meetings with the Manager (as may be required) and occasionally (if required) as a proxy, to ensure cross-divisional work is being done effectively.

Assists the Manager in meeting deadlines and assessing risk, cost and work required to implement new policies and procedures, then facilitate and support in connection with their completion.

Make recommendations in planning and creating new systems and providing an overall picture of productivity to various audiences, including executives. Assist in the development and improvement of information, data collection, reporting, and research processes.

Identify issues and support in maintaining systems. Coordinate assessments and evaluations as required for various Operations programs and initiatives. Elicit, analyze, document, and verify business, functional, and technical requirements.

Coordinate assessment of current operational workflows and recommend improvements to increase efficiency and reduce costs. Identify opportunities for business cases, issue papers, system specifications and standards changes and assists in execution of each. Map, analyze, and optimize business workflows to create a repeatable, productive, and visual structure, utilizing automation tools when appropriate Work with existing LABC systems to identify needs for Legal Operations departments. 2.

PROVIDE PROJECT MANAGEMENT AND CHANGE MANAGEMENT: Review and make recommendations for the successful execution and delivery of projects by preparing project requests, obtaining approvals, monitoring progress and coordinating divisional activities. Review and develop processes and tools to assess resource requirements, and monitor and forecast resource utilization, in alignment with society’s strategic and operational planning, project management, and decision-making processes for Legal Operations;

Support the Manager to maintain a prioritization tool for projects and initiatives. Remain up to date on all ongoing competing priorities to be able to do so;

Ensure LABC executes project activities in accordance with LABC policies, means, methods and constraints;

Provide technical support for project development and implementation, including review and coordination of project documentation, coordination of budgets with Finance, and participation on project teams as assigned;

Provide change-management support for LABC initiatives as assigned;

Assist in the preparation of project-related reports and long-range planning documents as assigned; and

Present status reports to Managers and Directors as required 3. COORDINATE AND PROVIDE SUPPORT FOR OPERATIONAL AND STRATEGIC PERFORMANCE MEASUREMENT AND SUPPORT EVIDENCE-BASED DECISION-MAKING: Support managers and staff in the development, implementation and use of performance measures, including key indicators;

Track, monitor and facilitate the reporting of performance measures;

Identify emerging performance measures to update key metrics as necessary; and

Review evaluation, survey, and data and make suggestions in response to performance data and to incorporate into planning and decision-making processes 4. PROVIDE RISK MANAGEMENT AND INFORMATION MANAGEMENT SUPPORT: Support the Manager to incorporate risk analysis into strategic and operational planning; Assess and recommend enhancements to Legal Operations' information management strategies to support effective development and implementation; and

Review and aid in the development and maintenance of the records management system for the Legal Operations division 5.

PERFORM OTHER RELATED DUTIES:



Assist the Manager in supporting effective organizational governance for the Legal Operations division; Research, learn, and implement new opportunities that leverage technology to maximize productivity; Document procedures related to the planning, project management, risk management, knowledge management, and LABC decision-making; and Perform other duties as required.

PHYSICAL ASSETS/INFORMATION MANAGEMENT: Develop and maintain planning, project management, and research files and records management system for the Legal Operations division Maintains strict confidentiality and safeguards all physical assets, operational data, and proprietary information, ensuring secure handling, storage, and communication across all Operations department division functions. Use computer and other office equipment.

FINANCIAL RESOURCES: Accountability to verify the accuracy of financial forecasts, reports and analyses, and provide information to management for use in monitoring/planning Legal Operations’ performances.

QUALIFICATIONS: Basic Requirements Degree/diploma in business and/or project management from an accredited university or technical school Knowledge of strategic planning, project management, and change management theory Minimum 3 years experience with data visualization tools and producing and utilizing data visualizations and analysis Minimum 3 years relevant experience as outlined in rated requirements Advanced Level - Word, Excel, Power BI and PowerPoint OR an equivalent combination of education/experience Rated Requirements Experience in operations planning and project management Knowledge of, or experience in change management Advanced creative problem-solving skills and openness to change and work towards mutual solutions.

Experience identifying and resolving complex business problems using logic and best practice skills developed through demonstratable course work Strong ability to analyze data, identify trends, and develop solutions. Ability to research, collect, organize, and analyse data, and write reports for executive, staff, and public. Compilation of data and the ability to translate that data into usable reporting metrics to an executive audience.

Ability to work in a fast-paced, highly independent environment and juggle multiple ongoing projects, responsibilities and relationships. Advanced facilitation and workshop coordination and design skills Knowledge of Legal Aid BC policies and procedures is an advantage Excellent leadership skills in motivating, coaching and teamwork Proficient in SharePoint, CoPilot, DevOps, SQL, Power Query, Microsoft Power BI, Microsoft Fabric, Azure DevOps or similar tools, in alignment with operational needs and recognized best practices.
